Sr. Development Coordinator, Department of Neurosurgery

Development and Alumni Relations (DAR) supports Johns Hopkins' focus on research, teaching, and patient care, and its role as a national and global leader in higher education. We create and foster enduring relationships that result in advocacy and philanthropic support for Johns Hopkins University & Medicine, strengthening the institution through its partnerships with donors, alumni, volunteer leaders, faculty, students, staff, and patients.

Johns Hopkins University supports a flexible work model with four different modalities. This role has a hybrid work arrangement with an onsite presence of three days a week. The manager will confirm the team's core onsite days where the majority or all team members will work in the office. Employees traveling on University business can count those days towards their onsite days.

The Fund for Johns Hopkins Medicine (FJHM) is the dedicated development and alumni relations team supporting Johns Hopkins Medicine (JHM), including clinical departments, hospitals, satellite clinics, and the School of Medicine. We contribute to JHM's mission through securing philanthropy, building and maintaining donor and alumni relationships, and supporting institutional priorities. FJHM partners closely with institutional leaders, faculty, and clinicians to engage alumni, patients, donors, and prospects in advancing medicine and improving the human condition.

The Sr. Development Coordinator provides administrative support to the Director of Development and a Sr. Associate Director of Development in the Department of Neurosurgery. Responsibilities include gift processing, reporting, acknowledgments, event planning support, portfolio management, and database maintenance. The role requires independent thinking, attention to detail, flexibility, advanced computer skills, and excellent interpersonal communication. Discretion and mature judgment are essential for handling sensitive and confidential information.

Key responsibilities:

Gift Processing:

  • Process charitable gifts and pledges, including assigning funds and initiating new accounts/endowments, involving interaction with faculty, administration, the Treasurer's Office, and other offices.
  • Utilize gift processing technologies and databases such as Paywire, CPA, JHAS, and Merkle.
  • Serve as liaison to various offices for gift management matters.
  • Triage donor inquiries related to contributions.
  • Audit database entries and account allocations, correct discrepancies in collaboration with relevant offices.
  • Manage gift and pledge documentation.
  • Generate weekly gift reports and communicate with gift officers and faculty.

Acknowledgments, Stewardship, and Donor Engagement:

  • Develop and maintain acknowledgment letter templates.
  • Draft, proofread, and send personalized acknowledgment letters.
  • Track donor stewardship activities in JHAS and run related reports.
  • Draft and send donor communications using Outlook, Marketing Cloud, and Constant Contact.

Data Management:

  • Maintain database integrity, update demographic and action data, proposals, and medical information.
  • Monitor and update physician referral activity.
  • Run routine and customized reports in JHAS to track activity and prospect information.

Administrative Duties:

  • Assist with planning and executing events and meetings.
  • Handle incoming communications.
  • Develop knowledge of SAP financial system for processing receipts and expenses.
  • Order supplies and track budgets.
  • Support gift officers with administrative and logistical tasks.
  • Respond to donor inquiries regarding gifts.
  • Perform additional duties as assigned.

Event Support:

  • Collaborate on event planning with the Director, donors, and faculty.
  • Coordinate logistics with the FJHM events team.
  • Manage vendor relationships and create event materials.
  • Process payments and track event budgets.
  • Maintain an event calendar and adhere to deadlines.

Minimum Qualifications:

  • High School Diploma or equivalent.
  • Five years of related administrative experience.
  • Additional education may substitute for experience as per JHU policies.

Preferred Qualifications:

  • One year experience in a development office preferred.
  • Knowledge of Johns Hopkins Medicine and development operations.
  • Strong computer skills and aptitude for learning new software.
  • Excellent communication skills.
  • Ability to work independently, maintaining professionalism and confidentiality.
  • Ability to perform under time constraints with accuracy and diplomacy.
  • Ability to prioritize workload effectively.
