Job description

At FNBO, our employees are the heart of our story—and we’re committed to their success! Please see below the details of this career opportunity and how it fits into our organization’s success.

The Portfolio Manager, Commercial Real Estate plays a critical support role within FNBO's CRE team, working closely with Relationship Managers, Relationship Associates, Credit Administration, and Operations to ensure the ongoing health, accuracy, and compliance of the CRE loan portfolio. This role serves as a central point of coordination for Relationship Manager Support, Covenant Monitoring and Compliance, Collateral Oversight and Documentation, Operations Coordination and Reporting Integrity, nCino System Management and Data Integrity and Policy Compliance and Risk Management — enabling RMs to focus on client relationships and business development while maintaining a well‑managed, audit‑ready portfolio.

The ideal candidate brings a strong foundation in commercial real estate lending, credit administration, or loan operations, combined with exceptional attention to detail, organizational discipline, and the ability to collaborate effectively across multiple internal teams. This individual is a proactive problem-solver who takes ownership of portfolio quality and serves as a reliable resource to the broader CRE group.

Relationship Manager Support
  • Serve as a dedicated resource to CRE Relationship Managers, providing portfolio administration support that enables them to focus on client development and deal execution.
  • Support Relationship Managers and Credit Analysts with the preparation and review of credit memos, including new requests, loan modifications and extensions, and annual review.
  • Assist Relationship Managers and Relationship Associates in the management and review of draw requests and the disbursement of construction loan commitments.
  • Assist Relationship Managers and Relationship Associates as necessary in the loan closing process including the organization of due diligence material and review of loan documentation.
  • Proactively communicate portfolio status, open items, and upcoming deadlines to Relationship Managers to ensure nothing falls through the cracks.
  • Contribute to a collaborative, high-performing team environment by sharing knowledge, supporting colleagues, and continuously improving team processes.
Covenant Monitoring and Compliance
  • Receive, review, and track all covenant reports across the CRE portfolio, including financial covenants, documentation requirements, and ongoing monitoring obligations.
  • Maintain a thorough working knowledge of covenant categories, reporting cadences, and compliance thresholds applicable to each loan type and borrower.
  • Work directly and regularly with Relationship Managers to scrub covenant reports, identify outstanding deficiencies, and drive timely resolution — with particular focus on past-due items exceeding established guidelines.
  • Escalate unresolved covenant exceptions to management with clear documentation of status, aging, and recommended next steps.
  • Maintain accurate and up-to-date covenant tracking records to support audit readiness and management reporting.
Collateral Oversight and Documentation
  • Partner with Operations and Relationship Managers to monitor proper collateral filings across the CRE portfolio, ensuring all UCC filings, deeds of trust, mortgages, and other security instruments are current and accurately recorded.
  • Identify and resolve collateral documentation gaps or exceptions in a timely manner, coordinating with legal, Operations, and RMs as needed.
  • Track collateral expirations, renewals, and required re-filings to ensure continuous perfection of FNBO’s security interests.
  • Maintain organized and complete collateral files in accordance with FNBO policy and regulatory requirements.
Operations Coordination and Reporting Integrity
  • Interact directly with Operations to ensure proper reporting time frames are accurately reflected on covenant and monitoring reports.
  • Identify and resolve discrepancies between loan system data and actual reporting requirements, working collaboratively with Operations to implement corrections.
  • Serve as a liaison between the CRE team and Operations on day-to-day portfolio administration matters, ensuring clear communication and timely resolution of open items.
  • Support the preparation of portfolio-level reports and management updates as requested by CRE leadership.
nCino System Management and Data Integrity
  • Work directly with Credit Administration and Operations on nCino needs, ensuring proper data inputs, system configurations, and workflow accuracy across the CRE portfolio.
  • Review and validate nCino records for completeness and accuracy, identifying and correcting errors or missing information in coordination with the appropriate teams.
  • Support the ongoing optimization of nCino workflows and reporting capabilities within the CRE group.
  • Serve as a knowledgeable resource on nCino functionality for RMs and team members, providing guidance on proper system use and data entry standards.
Policy Compliance and Risk Management
  • Maintain a current and thorough understanding of FNBO’s credit policies, procedures, and regulatory requirements as they apply to the CRE group.
  • Review portfolio activities and documentation against applicable policy requirements, identifying exceptions and working with RMs and management to address them proactively.
  • Support the CRE team in preparing for internal audits, regulatory examinations, and credit reviews by ensuring portfolio documentation and reporting are complete and accurate.
  • Flag emerging compliance or risk concerns to management and Credit Administration, providing clear documentation and recommended remediation steps.
