Job Summary
The Sr. Administrative Assistant role provides administrative support and clerical assistance to key members of the Site Leadership Team (SLT) which includes the General Manager, Human Resources Manager, EHS Manager and Engineering Manager to ensure effective and efficient office operations. This role will report to the General Manager but will support multiple departments within the Waggaman complex.
Job Responsibilities
- Maintain physical and digital filing systems.
- Organize, plan and schedule meetings, events and travel for SLT.
- Develop collaborative relationships with administrative support team members from various departments.
- Provide general administrative duties in support of multiple departments, including organizing catering for meetings and events, participating in safety drills, and record keeping.
- Order and manage office supply inventories.
- Sort and distribute incoming mail.
- Assist in preparing presentation materials for recurring, semi‑annual meetings and technical conferences.
- Assist with document control and management.
- Provide general support to visitors.
- Coordinate with Cornerstone personnel for site access and ensure visitor orientations are completed.
- Partner with HR Manager to plan events on and off site.
- Manage admin building supplies, housekeeping and general upkeep.
- Complete all other duties as assigned.
Job Requirements
- Minimum of a High School Diploma, or its equivalent, is required.
- Two years of college, preferred.
- Minimum of at least two (2) years of experience as an administrative assistant or office assistant.
- Must possess or be able to obtain a Transportation Workers Identification Credentials (TWIC) card.
- Proficient in Microsoft Office Suite.
- Excellent organizational, time management and communication skills, including communicating with all levels of team members, especially during difficult and challenging situations.
- Ability to prioritize work.
- Self‑motivated and capable of working independently.
- Excellent telephone, listening, verbal and written communication skills.
- Ability to maintain a high degree of professionalism and confidentiality.
- Strong level of attention to detail and thoroughness in completing work tasks, analytical thinking and problem‑solving skills.
- Capable of working for and taking direction from multiple individuals.
