Position Overview

Performs advanced clerical, administrative, and general office duties for the Chief of Staff. Business contacts include individuals at all levels within the organization, industry, and community. Manages complex calendars, schedules meetings and appointments, and gathers data to develop reports. Works independently with minimal supervision and requires thorough knowledge of company policies, organization, personnel, and services.

Key Responsibilities
  1. Organizes and expedites workflow through the administrator's office, initiating follow-up actions as appropriate.
  2. Resolves routine and some complex inquiries, fulfilling requests from internal and external contacts based on organizational policies and procedures.
  3. Formats, types, and edits complex or technical materials, including correspondence, memos, reports, presentations, and confidential documents.
  4. Maintains and manages calendars, schedules appointments and meetings, and prepares agenda materials.
  5. Arranges meetings, conferences, and travel arrangements for department personnel.
  6. Prepares and distributes minutes of meetings.
  7. Handles travel, lodging, and conference registration arrangements for department leaders.
  8. Manages business-related expense reimbursements, including memberships and travel expenses, maintaining detailed records.
  9. Maintains confidential files, logs, and records with frequent access.
  10. Assists in planning and organizing special projects.
  11. May coordinate with lower-level secretarial or clerical staff on projects.
Qualifications

Required qualifications include:

  • Post-high school trade, business, or professional school; Bachelor's degree preferred.
  • Experience may substitute for educational requirements.
  • 3-5 years of related experience.
