Job summary

The University of Maryland, Baltimore (UMB), Office of Philanthropy, Foundation Board Relations is recruiting a Senior Philanthropy Operations Specialist to support Gift Administration, including gift processing, reporting, and CRM use.

In this role you will optimize workflows, ensure data accuracy, prepare MOUs and communications, and collaborate with campus philanthropy offices to promote compliant processes and timely donor reporting.

Qualifications

  • Four years of progressive philanthropic experience with at least two years in data maintenance, donor support and stewardship, gift administration, or advancement services.
  • Bachelor's degree required.
  • Strong knowledge of donor CRM and gift-processing functionality; able to troubleshoot and optimize system use.

Responsibilities

  • Provide day-to-day support for gift processing and reporting, including processing gifts and pledges in the donor CRM, reconciling bank deposits, gift receipting, and related Gift Administration tasks.
  • Draft Memoranda of Understanding (MOU) and track status to completion.
  • Prepare and distribute donor communications in a timely manner.
  • Develop relationships with campus Philanthropy offices to communicate gift administration policies.
  • Review workflows for compliance and efficiency, identify improvements, and assist with system enhancements.
  • Prepare daily bank deposits and ensure data accuracy for posting; follow donors' instructions and document allocations.
  • Create routine fundraising and campaign reports and ad hoc management reports.
  • Perform other duties as assigned.

The University of Maryland, Baltimore (UMB), Office of Philanthropy, Foundation Board Relations is recruiting a Senior Philanthropy Operations Specialist.

This position is part of the University of Maryland Baltimore Foundation (UMBF) operational team and will support the Foundation’s Gift Administration function. In addition to gift processing and related operational responsibilities, the position will serve as a strong functional user of the Foundation’s donor CRM, developing a thorough understanding of the system and helping identify opportunities to improve its use, workflows, reporting and functionality.

Primary Duties
  • Provide day-to-day support for gift processing and reporting functions, including processing gifts and pledges directly in the donor CRM, reconciliation of bank deposits, gift receipting, and related Gift Administration activities, particularly during peak periods such as calendar and fiscal year-end. Ensure the accuracy of the donor database through consistent input, maintenance and review. Develop strong functional knowledge of donor CRM and gift-processing functionality, using that knowledge to troubleshoot functional issues, support effective use of the system, and identify opportunities for improvement.
  • Draft Memoranda of Understanding (MOU) and submit for appropriate review; track MOU status and monitor progress to completion.
  • Prepare and distribute donor communications and ensure delivery to donors in a timely manner.
  • Provide information to and develop relationships with campus Philanthropy offices to facilitate and communicate gift administration policies and procedures.
  • Review policies, procedures, and workflows to ensure compliance and efficiency. Identify and recommend improvements to gift administration process and the functional use of the donor CRM and assist with implementing approved process and system enhancements.
  • Prepare daily bank deposit ensuring accuracy of data provided to Finance for posting and check transmittal to bank. Clarify, implement, monitor, and honor donors¿ intent and instructions, and ensure allocations are accurately documented in the donor records. Follow-up with donors and Philanthropy staff with information about gifts.
  • Create and compile routine fundraising and campaign reports and create ad hoc reports as needed by management.
  • Performs other duties as assigned.

Hiring Range

$75,000 - $83,000, Commensurate with education and experience
