Job Summary
The Specialist serves as a central operational support for the Senior Specialist and Diversion Associates, helping ensure cases move efficiently and accurately from intake through resolution. The role is responsible for coordinating documentation, tracking client progress and required follow-up, maintaining accurate and timely program data, and supporting client engagement activities. By strengthening workflow, documentation, and data integrity, the Specialist helps the Diversion team maintain compliance with program and funding requirements while allowing Diversion Associates to remain focused on direct client services and housing problem-solving.
Key Responsibilities
Administrative & Operational Support
- Maintain accurate and organized client records in HMIS/Client Track and physical files.
- Scan, upload, file, and manage all client documentation.
- Monitor and maintain expense logs to ensure alignment with services provided.
- Track and support completion of case notes and documentation timelines.
- Submit weekly task logs and maintain internal tracking tools.li>
- Manage document flow including “to be filed” and acknowledgment folders.
- Support calendar coordination and scheduling for Diversion staff.
- Provide administrative support to the Manager of Diversion, Senior Specialist and Director of Supportive Services as needed.
Documentation & Compliance Management
- Audit client files to ensure completeness and compliance prior to case closure.
- Initiate and support case closure processes.
- Track client length of participation and notify staff of key deadlines (e.g., 90-day benchmarks)
- Maintain up-to-date client contact records.
- Ensure adherence to program, grant, and documentation standards.
Program Support & Resource Coordination
- Support donation organization and inventory tracking.
- Maintain office supply levels for program operations.
- Assist with transportation support (e.g., gas cards, metro cards) and documentation.
- Support field activities including home visits and unit inspections as needed.
Qualifications
Required:
- Bachelor's degree in social work, Human Services, or related field.
- Minimum 2 years of progressively responsible experience in human services or homeless services.
- Strong knowledge of housing first, harm reduction, trauma-informed care, and client-centered service delivery.
- Excellent communication, leadership, organizational, and interpersonal skills.
- Proficiency with Microsoft Office, data tracking systems (e.g., HMIS), and performance measurement.
- Knowledge of federal and state grant requirements, including compliance standards and budget tracking/reporting.
Preferred:
- Bilingual or multilingual skills.
Work Environment & Physical Demands
- Primarily office-based and with occasional on-site presence at program sites or partner locations for meetings and events.
- Hybrid or flexible work options available.
- Occasional evening or weekend hours may be required for events or urgent program needs.
