Job summary

Job description

The Department of Pharmaceutical Services provides a full range of services for patients cared for by the UCSF Medical Center, as well as its providers and payers. These services include, but are not limited to: drug procurement, storage, and security; safe accurate and timely preparation and distribution of drugs; clinical pharmacy services for patients; development of drug uses policies within the medical center; drug information services for clinicians and patients; and participation in technology assessment and quality assurance programs. The department encompasses the Department of Clinical Pharmacy, an academic campus unit within the School of Pharmacy, which has a primary responsibility for teaching professional courses in the PharmD curriculum, research, and public service. The Department of Clinical Pharmacy and Pharmaceutical Services share their philosophy of pharmaceutical care. Under Pharmaceutical Services, the Inpatient Pharmacy, at Parnassus, Mount Zion and Mission Bay Sites, provides pharmaceutical care to patients hospitalized at Moffitt, Long, Mount Zion and Mission Bay Hospitals and specialized services to researchers on campus.

The Specialty Pharmacy Clerk is responsible for delivering exemplary customer experience. This role encompasses register sales and other clerical duties. The Specialty Pharmacy Clerk is also responsible for performing shipping, cash management, administrative functions and other responsibilities assigned by the Pharmacy Manager.

DUTIES & ESSENTIAL JOB FUNCTIONS

Operational Support:

• High level understanding and utilization of pharmacy programs and software associated with shipping and additional task completion
• Prepare patient packages for shipping. Tasksmay include, but not limited to:
  • Inspecting each package for correct items,missing items, brokenitems, and record any problems with the packaging
  • Assuring the shipping information is accurate, doublechecked and printed correctly on shipping labels
  • Completing shipment and delivery documentation in the pharmacy's Patient Management Platform
  • Ensuring all prescriptions are packaged appropriately according to stability guidelines and shipped through the correctvendor and method
  • Reconciling openfulfillment prior to end of day and arrival of shipping courier
• Ensure all shipping department reports are generated and submitted in a timely manner
• Order supplies for the pharmacy department as needed
• Ensure all merchandise, supplies and shipping containers are restocked
• Complies with all regulatory requirements, including HIPAA/HITECH
• Maintains clean and orderly shipping area

Prescription intake and processing

• Patient registration intoWillow and PatientManagement platform
• Prescription entry and adjudication

Cash Management

• Receives payment by cash, check,credit cards, vouchers, or automatic debit
• Issues receipts, refunds, credits, or changedue to customers
• Maintains clean and orderly checkout areas
• Keeps accurate records of monetary exchanges, authorization forms, and transaction reconciliations
• Perform daily and weekly cashand/or payment reconciliation
• Weekly payment deposit and ad hoc deposits, if necessary
• Upholds pharmacy standards pertaining to customer service
• Assists customers by answering questions, locating items, or referring them to the pharmacist for clinical information

Clerical and Administrative Duties

• Respond to third partyrequests, i.e., audits/re-credentialing and provides necessary information/documentation
• Completes all necessary followup actions
• Identify areasfor process/quality improvement and works withthe pharmacy supervisor to implement improvement measures
• Sort out incoming faxesand categorize as appropriate

Other responsibilities

Completes pharmacy training requirements

Stay up to date on pharmacies anddepartment's policies and procedures

Assists in training new employees.

Upholds accreditation and regulatory standards

Participates in the pharmacy's continuous quality improvement, as necessary

Adapts to the pharmacy's changing needs, as necessary

Self-motivated and abilityto multi-task with minimal supervision

REQUIRED QUALIFICATIONS

• At least 1 year of pharmacy experience
• Knowledge of basic computer functions which include the ability to create and save text documents and to create and send emails
• Ability to work in a manual or automated pharmacy setting
• Ability to safely operate power material handling equipment as necessary
• This position requires flexibility to orient and work at all UCSF Medical Center locations.

PREFERRED QUALIFICATION

• Previous experience in a specialty pharmacy, warehouse, retail or shipping/receiving environment is preferred
