In the Role

We are seeking a proactive and detail-oriented Special Events Manager to join our Marketing team and lead the execution of strategic brand and community events.

This role will report to the VP of Communications and work cross-functionally to ensure events are delivered seamlessly and effectively promote our mission and presence.

What you will do:

Event Execution: Oversee the execution of the existing events strategy, ensuring seamless execution.

Marketing Coordination: Build and manage a detailed timeline for event marketing plans, including coordination with marketing, alumni, CRM, and other internal teams.

Event Design Management: Collaborate with the design team to request and deliver necessary creative assets.

Student Communication: Coordinate with both our alumni and current students for event participation, speaking opportunities and promotion.

Internal Communication: Serve as the central communicator across departments to align all event logistics and expectations.

Content & Social Media Collaboration: Partner with the social media team to support event promotion and content production.

Vendor & Venue Sourcing: Identify venues and vendors as needed and submit recommendations for approval.

Logistics Oversight: Manage shipments and deliveries, including both physical coordination and asynchronous coordination with legal and finance teams to ensure smooth event operations.

On-site Event Management: Travel to and manage on-site events, including set-up and breakdown, as needed. Work closely to delegate tasks for event execution both prior to and during the event.

Post-event Analysis: Lead post-event debriefs and provide actionable feedback to improve future events.

External Promotion: Seek and establish partnerships with local media or blogs to amplify event reach.

Requirements:

  • 3+ years of experience in event planning, experiential marketing, or brand activations.
  • Exceptional project management and organizational skills; able to juggle multiple priorities.
  • Strong interpersonal and communication skills, with the ability to lead cross-functional collaboration.
  • Experience coordinating with creative, marketing, and CRM teams.
  • Willingness and ability to travel domestically as needed by the business for event execution.
  • Comfortable managing logistics and solving problems in fast-paced environments.
  • Familiarity with tools such as Jira, Google Workspace, and Slack preferred.
  • Ability to work independently and take initiative while maintaining alignment with team goals.
  • Must be able to comfortably lift up to 20 lbs when assisting with event setup.
  • Responsible for providing your own high speed internet and laptop at your selected remote work location.
  • Must be based in the continuous United States with valid long term work authorization. We are not able to offer sponsorship for work visas for this position.

What we can offer you:

  • 6-12 month, remote contract
  • Compensation: Monthly Gross Payment of $7500 - $9000.
  • Remote, part-time work with 30 hours per week expected. The time commitment required may flex up to 40 hours per week for certain periods around key event launches as the business may require with Management Approval.
