Job summary

WME Group is seeking a Coordinator to join our Speaker Representation team in New York. You will liaise with speakers and their staff to organize invitations, manage calendars, and coordinate logistics across departments.

The role requires a self-starter with excellent communication, organizational skills, and the ability to prioritize a high volume of work. You will work closely with the President and across teams to ensure timely responses and high-quality materials.

Qualifications

  • Bachelor's degree with at least 2 years work experience.
  • Excellent verbal and written communication skills are essential.
  • Ability to meet deadlines.
  • Proficient with Microsoft Word and Outlook (CRM databases and LexisNexis a plus).
  • Superb organizational skills with great attention to detail and a self-starter.
  • Ability to prioritize a high volume of work.
  • Capability to negotiate and find creative solutions.
  • Creative thinking and teamwork under pressure.

Responsibilities

  • Develop and maintain relationships with Speakers and their offices.
  • Work cross-functionally with all departments to ensure timely responses to Speaker and Hosting organizations.
  • Maintain and update the company's internal CRM database for each Speakers' office.
  • Oversee projects for multiple Speakers, manage timelines, and track communications in CRM.
  • Arrange and organize tours and calendars for Speakers and invitations.
  • Onboard new speakers and coordinate marketing materials and press records.
  • Vet and research potential speakers and hosting organizations as needed.

The Role and What You'll Do:

The Harry Walker Agency is seeking a Coordinator to join our Speaker Representation team. This person will liaise with our speakers and their staffs to organize and coordinate speaking invitations. This person must be a self-starter, detail oriented, organized, professional, and be able to work in a team environment. As part of this Speaker Management team, the candidate will work directly with the President of the Agency and work cross-functionally with all other departments throughout the Agency.

  • Develop and maintain relationships with Speakers and their offices
  • Work cross-functionally and liaise with all departments within the Agency to ensure timely response to Speaker and Hosting organizations
  • Maintain and update the company's internal CRM database for each Speakers' office
  • Oversee projects for multiple Speakers simultaneously, while effectively managing timelines and communicating expectations, and tracking all projects/communications in CRM
  • Arrange and organize complicated tours and pending calendars/speaking invitations for Speakers
  • Onboarding new speakers and working with their offices to assemble marketing materials, keeping up to date press release records, and overseeing speech content and speaker's dedicated page on our website.
  • Vet and research potential speakers and hosting organizations as needed
You Have These:
  • Bachelor's degree with at least 2 years work experience (background in politics, talent management/event planning, and/or sales not necessary, but a plus)
  • Excellent verbal and written communication skills are essential
  • Ability to meet deadlines
  • Proficient with Microsoft Word and Outlook (experience with CRM databases and LexisNexis not required, but a plus)
  • Superb organizational skills with great attention to detail and a self-starter
  • Ability to effectively prioritize and triage a high volume of work
  • Capability to negotiate and find creative solutions aka "Live in the Solution"
  • Creative thinking, teamwork, and a positive, can-do attitude under pressure a must

Per local requirements and in the interest of transparency, the rate shown below reflects the prevalent current hiring range for this position. Hiring pay rates are based on a number of factors, including location and may vary depending on job-related qualifications, knowledge, skills and experience. The company strives to provide locally competitive rewards packages, which include base rate along with, as applicable, short- and long-term incentives, growth and developmental opportunities, and robust benefits, such as health care, retirement, vacation and other paid time off, and additional offerings.

Hiring Rate Minimum: $67,500 annually (minimum will not fall below the applicable state/local minimum salary thresholds)

Hiring Rate Maximum: $90,000 annually
