Role & Responsibilities
As the face of The Spa at Flying Horse, the Spa Supervisor is critical to ensuring that each Guest has a positive and memorable experience. The Spa Supervisor is responsible for all employees working the reception area in the spa, ensures the retail shelves are stocked with products and displays them accordingly for guests, and assists Spa Manager with daily operations. This person must have a high level of professionalism, excellent customer service skills and be detail oriented.
- Assist the spa manager with daily oversight of assigned areas.
- Lead front desk employees in accordance with company policies and procedures.
- Responsible for hiring, onboarding, scheduling, and training front desk staff.
- Able to work independently at the front desk with minimal supervision.
- Maintain the tidiness and organization of our locker rooms and relaxation areas.
- Maintain the general cleanliness and organization of the reception area.
- Review all chits at the end of each day for services.
- Assist Spa Manager with client feedback and assist with areas of improvement as needed.
- Direct front desk receptionist team and manage daily schedule.
- Work in ratio at the Front Desk as scheduled and/or as needed.
- Foster and maintain a respectful and inclusive team environment.
- Make note of overall mood of the staff and address any employee concerns.
- Post on Slack (shout-outs, shift opportunities/coverage, promotions, etc).
- Assist Spa Manager with interviewing, lead trainings, mentoring and discipline as needed.
- Determine monthly service promotions, products and discounts with the Lead service providers.
- Works closely with each department lead to ensure proper function of the spa and spa equipment.
- Ensure team is in uniform, including name tag.
- Oversee retail inventory and report bi-weekly to Spa Manager and monitor daily inventory levels to ensure spa needs are met.
- Input products into JONAS system.
- Works with Spa Manager to research products to display in our retail space.
- Actively build the book of clientele by utilizing tools provided by the Flying Horse marketing team and utilize appointment cards/business cards.
- Must be available to work weekends and Holidays.
- Supervise front desk in performing their duties including greeting guests, answering phone properly, and checking out guests in accordance with company policies and procedures.
- Serve as moderator to resolve employee and/or guest issues or concerns.
- Provide assistance to all staff when dealing with escalated issues such as guest complaints and inform Spa Manager.
- Troubleshoot and assist staff with POS and other software including mindbody, JONAS, and Asset Essentials.
- Assist Spa Manager in reviewing schedule for mistakes in appointments and provider availability.
- Provide input to Spa Manager of strategies for better workplace efficiency and goal achievement.
- Stay up to date on marketing initiatives.
- Review key performance indicators with Spa Manager and track objective progress monthly, quarterly and annually.
- Conduct thorough physical checks of the spa, specifically retail areas to include a walkthrough of the spa to make sure everything has been maintained and nothing is broken.)
- Fill out work orders as needed.
- Weekly inventory counts: retail and backbar.
- Weekly email summarizing what happened in the spa that week (conversations had with employees and/or detailed meetings).
- Meet with Spa Manager on a regular basis to discuss concerns/areas of improvement/wins in the spa.
- Attend the weekly Athletic Club leadership meeting as scheduled.
- Updates on overall mood of the staff or concerns that might need to be addressed.
- Make slack shout outs and posts for moral and details to keep staff informed.
- Perform any other related duties as instructed by management.
Qualifications & Educational Requirements
One year experience in a spa environment required, must have three years in a supervisor/manager role and one year in customer service/hospitality. Must be detail oriented, accurate and possess good organizational abilities and be capable of handling multiple tasks simultaneously. Must have computer skills, excel, word, power point.
Must possess customer service skills and strong oral communication skills. Competency in dealing with members and fellow employees under circumstances requiring tact and diplomacy. Must possess the ability to work effectively under time deadlines. Must work well independently and within a team.
