Job summary

GENERAL DESCRIPTION

Responsible for managing and supervising all areas of the spa, hair and nail salon, including its programs, services, hours of operation, facilities and staff. Coordinates the delivery of spa services, including salon, skin, hair and nail care, fitness and wellness, massage, program coordinating, reservations, and reception desk. As a department head, directs and works with the management team and hourly employees to successfully execute all spa operations. Strives to continually improve guest and employee satisfaction and maximize the financial performance of the department.

WORK REQUIREMENTS
Key Responsibilities
  • Manage and oversee all Spa/Salon areas (Front Desk, Fitness Facilities, Locker Room, Relaxation Lounge, Treatment Rooms and Retail).
  • Interview and select job applicants as well as effectively supervise, discipline, and give performance evaluations for spa employees. Foster positive employee morale.
  • Responsible for the administration of goods, requisitions, inventories, storage, and cost-effective usage of all department related products, according to standards and budget to ensure smooth operation.
  • Oversee the operation of equipment and cleanliness in all spa and salon areas and coordinate special requirements with Housekeeping, Laundry, and Engineering.
  • Effectively integrate the Spa with the Hotel operations wherever possible and in accordance with the direction of Spa trends.
  • Participate in regular staff meetings to keep employees informed of hotel policies and changes, as well as ways to increase sales and service.
  • Create retail purchase orders in accordance with pars and budget. Organize and facilitate monthly and quarterly retail inventory.
  • Coordinate group bookings and conduct on-site tours of the Spa with key meeting planners.
  • Assist all Spa and Salon departments with internal standards testing.
  • Selects vendors for spa retail operations and managing contract agreements.
  • Oversees retail product research, product selection and purchasing, product display.
  • Manages supply inventories and purchasing control, including uniforms.
  • Monitors the spa's actual and projected sales to ensure revenue goals are met or exceeded.
  • Maintains cleanliness of spa and related areas and equipment.
Managing Spa and Salon Sales and Marketing Strategy
  • Creates and coordinates special services for groups including group gifting programs, group amenities, group turndown gifts, letters and invitations, creating special spa services for specific groups and spa contract addendum negotiation.
  • Develops and Manages spa and salon promotions including gifting programs, gift with purchase, co-op marketing efforts and holiday events.
  • Ensures spa and salon services are included in all property-related marketing and advertising.
  • Identifies and recommend new products and product enhancements to remain competitive in the market.
  • Manage day-to-day salon operations to ensure smooth service delivery, a clean environment, and adherence to state board sanitation and safety regulations.
  • Oversee appointment scheduling, client intake, and service flow to optimize chair/station utilization and minimize wait times.
  • Manage retail and professional inventory, conducting weekly audits, monitoring product usage, and placing vendor orders to prevent stockouts.
Managing Spa Revenue Management Strategy
  • Monitors and manages the payroll function.
  • Manages areas of operation to budget by reviewing operating statements, budget worksheets and payroll progress reports.
  • Manages Spa and salon controllable expenses such guest amenities, linen expense, professional salon products, plants, decorations and paper supplies to achieve or exceed budgeted goals.
  • Analyze booking patterns, historical demand, and service duration data to implement dynamic pricing and peak hour revenue management strategies.
  • Design and execute high-margin service packages, seasonal promotions, and add-on menus to maximize spend per guest.
  • Optimize therapist shift schedules and room/station allocation to align precisely with forecasted demand and reduce unbooked capacity.
  • Oversee retail-to-service revenue ratios by training staff on consultative sales techniques and strategizing retail product placement near reception and service areas.
  • Conduct regular pricing tier audits across hair, nail, and body treatment menus to ensure competitive positioning and healthy profit margins.
Ensuring and Delivering Exceptional Customer Service
  • Displays leadership in guest hospitality, exemplifying excellent customer service, and creating a positive atmosphere for guest relations.
  • Empowers employees to provide excellent customer service.
  • Strives to improve service performance.
  • Reviews, comment cards, guest satisfaction results and other data to identify areas of improvement.
  • Reviews findings with employees to develop appropriate corrective action, sharing plans with property leadership and ensuring corrective action is taken to continuously improve results.
Recruitment, Training and Accountability
  • Recruit, hire, train, and onboard massage therapists, cosmetologists, nail technicians, and front desk personnel.
  • Develops, implements and maintains a Spa orientation program for employees to receive the appropriate new hire training to successfully perform their job.
  • Administers the performance appraisal process for direct report managers.
  • Develops business goals and creates appropriate development plans.
  • Establishes and maintains open, collaborative relationships with employees and ensuring employees do the same within the team.
  • Solicits employee feedback, utilizes an "open door" policy and reviewing employee satisfaction results to identify and address employee problems or concerns.
  • Ensures that regular on-going communication is happening in all areas of responsibility to create awareness of business objectives and communicates expectations, recognizing performance, and producing desired business results.
  • Celebrates successes and publicly recognizes the contributions of team members.
EDUCATION & PHYSICAL REQUIREMENTS
Qualifications and Experience
  • 1-2 years of experience in a luxury hotel or spa setting.
  • Spa Manager should have basic understanding of Microsoft applications, phone etiquette and Spa Soft systems.
  • Candidate must be guest focused and have excellent presentation skills
  • Communication skills both verbal and written.
  • Bilingual skills preferred.
Physical and Scheduling Requirements
  • Ability to stand and walk for extended periods throughout the shift.
  • Ability to occasionally kneel, push, pull, reach, climb stairs or ramps and lift or carry up to 30 pounds, following hotel safety procedures.
  • Frequent use of hands for keyboarding and arms for reaching.
  • Flexible availability required based on business needs, including early mornings, evenings, overnight coverage, weekends and holidays.
  • Regular and reliable attendance and compliance with property appearance, grooming and uniform standards.
Licenses/Certifications
  • Valid driver's license required when operating hotel vehicles or performing transportation-related duties.
  • Hospitality, tourism or concierge certifications and professional recognition preferred.
