Job description

As a Sourcing Specialist, you will be an embedded sourcing partner and first point contact for our business teams. Working in a dedicated pod, you’ll drive assigned purchases through requirements and supplier proposal review, routine commercial negotiation, contracting, and approval readiness. You’ll coordinate supplier responses and cross‑functional reviews, keeping each deal’s scope, pricing, documentation, and next steps aligned.

This is a hands‑on, commercially focused role where you’ll work closely with suppliers, business stakeholders, Legal, Security, and Finance to resolve open issues and prepare complete, consistent deals for approval. You’ll report to a Sourcing Category Lead, work within approved playbooks and delegated authority, and partner with Procurement Operations on the handoff for signature and PO creation, escalating complex commercial or risk decisions to the appropriate owners.

You will support Robotics, Hardware and Silicon & Systems teams with purchases spanning lab equipment, computer hardware, prototype components, engineering services and managed lab operations, helping keep development milestones and operational readiness on track

What You’ll Do

• Serve as the embedded sourcing partner to business teams, clarifying purchase needs and driving assigned requests through commercial review, contracting, and approval readiness.
• Review business requirements, supplier selection, competitive quotes, pricing benchmarks, and total cost for assigned low‑complexity purchases; confirm the sourcing path with the Category Lead and document commercial recommendations.
• Confirm agreed pricing, scope, and approvals are accurately reflected in partner with Procurement Operations on a complete handoff for PO creation
• Coordinate supplier responses and supporting evidence for Legal, Security, and other cross‑functional reviews; resolve deal blockers and route risk decisions to the appropriate owners.
• Escalate blockers, approval delays, or scope questions to sourcing managers or functional partners
• Coordinate contracts, amendments, and SOWs through approved templates and Ironclad/CLM workflows; work with business partners to clarify deliverable milestones, acceptance criteria, and payment schedules, and coordinate Legal redlines, supplier responses, and approvals while maintaining accurate versions and Zip linkage.
• Maintain accurate supplier, commercial, and contract records in Zip and linked systems, including negotiated terms, approval evidence, and the final agreement version.
• Promote consistency and efficiency by spotting opportunities for standardization and aggregation of purchases.
• Drive follow-ups with suppliers, business stakeholders, and Finance to close open commercial decisions and keep assigned deals moving toward approval.
• Report on assigned sourcing requests, negotiation progress, contracting milestones, and review cycle times; flag ageing deals and actions needed close.
• Document and refine workflows to simplify repeat transactions and improve efficiency
• Identify and bring forward ideas to improve processes, reduce friction, and scale procurement support — including opportunities to leverage automation and AI tools where possible.
• Support hardware and prototype purchases by reconciling technical specifications, quantities, quote revisions, delivery schedules, warranties a support coverage with engineering and lab stakeholders.
• Coordinate non‑recurring engineering (NRE) commitments and milestone payments, obtaining business confirmation of deliverable acceptance a distinguishing existing contractual obligations from new scope or funding.
• Support managed lab‑services engagements, reviewing staffing models, rate cards, time‑and‑materials charges, spend caps and service‑level commitments with business owners.

You Might Thrive in This Role If You

• Bring 4+ years in procurement coordination, sourcing support, purchasing operations, AP/finance ops, or supply chain support
• Have practical sourcing skills: clarify requirements, compare supplier proposals and pricing benchmarks, assess total cost, and document recommendations.
• Can negotiate routine commercial terms within approved playbooks, record concessions, and recognize when an issue needs Sourcing Manager or functional‑owner input.
• Understand contract and SOW fundamentals, including deliverables, acceptance criteria, service levels, payment schedules, and change control; can coordinate redlines and approvals with Legal and business partners.
• Have experience with procurement systems (Zip, Oracle, NetSuite, SAP, Coupa, Ariba, etc.).
• Excel at attention to detail and accuracy in data entry and approvals.
• Are service-oriented and responsive — you like being embedded with teams and helping them move fast.
• Thrive in ambiguous, fast‑moving environments with shifting priorities.
• Communicate clearly, elevate when needed, and adapt your approach to different audiences.

• Have experience supporting hardware, electronics, semiconductor or robotics procurement, with familiarity with prototype development, engineering milestones and outsourced technical or lab services.
