ABOUT THE POSITION
As a Sales Coordinator, you will partner with Account Executives throughout the sales cycle, ensuring a seamless flow of opportunities from prospecting to campaign execution. You will perform a range of administrative and coordination functions to deliver exceptional customer experiences and accelerate revenue growth. This position is intentionally designed as the first step on a clear development path toward becoming an SMB Account Executive, equipping you with the knowledge, relationships, and hands‑on practice needed to make that transition within twelve to eighteen months.
RESPONSIBILITIES
(Responsibilities include, but are not limited to.)
- Foster key relationships by building and maintaining strong partnerships with Account Executives, internal teams, external clients, advertising agencies, and out‑of‑home buying services.
- Develop client‑support expertise by managing inquiries, resolving requests, and delivering timely follow‑ups that cultivate trusted relationships.
- Master the sales process by coordinating advertising contracts, internal work orders, non‑space agreements, client posting instructions, and completion reports to ensure flawless campaign execution.
- Coordinate production activities for assigned accounts, tracking progress and ensuring accurate completion reports and on‑time delivery of advertising materials.
- Build technical proficiency in Ballyhoo’s internal systems (CRM, mapping, and proposal tools) to create impactful proposals, contracts, and maps that support Account Executive sales efforts.
- Provide organizational support by maintaining orderly files and documentation, tracking receipt of client materials, and assisting with production coordination as needed.
- Collaborate and lead by example, championing Ballyhoo’s sales‑and‑service philosophy and acting as a professional, diplomatic representative of the Sales Department.
- Generate and process contracts, proposals, and sales presentations that enable Ballyhoo to scale rapidly with ferry opportunities.
- Serve as a key resource on Ballyhoo’s waterway media, advertising offerings, and business model.
- Inform Account Executives and customers about campaign status and manage campaign progress.
- Manage inventory requests, holds, market avails, media plans, and proposal grids.
- Assist in creating targeting maps, custom decks, and visuals for RFP responses.
- Handle invoicing requests and billing inquiries alongside the Finance and Client Success teams.
- Maintain the customer database (CRM), inputting profiles and updates, and tracking sales expenses.
- Coordinate and monitor all activities related to advertising campaigns, ensuring timely execution.
- Gain exposure to all departments connected to the sales cycle, including Marketing, Operations, and Finance.

QUALIFICATIONS
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Proficiency in CRM software and Microsoft Office Suite.
- Detail‑oriented with a high level of accuracy.
- Creativity, initiative, and commercial awareness.
- Ability to work independently and act on own initiative.
- High‑school diploma or equivalent required; Bachelor’s degree preferred.
- Two years of related experience, preferably in sales, marketing, or administrative roles.
- Experience in data management and Gmail preferred.
WORK ENVIRONMENT
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of the job with or without reasonable accommodations. The environment includes office locations, and/or moving inside/outside the office. A high noise level is possible if visiting boats or offsite locations. Personal protective equipment will be provided as needed in these situations.
