SITE SUPERVISOR, LGBTQIA+ YOUTH PROGRAM

Reports to: Director, Program Operations

Classifications: Exempt, F.T. (YSD)

The Site Supervisor is responsible for the daily oversight and coordination of program operations at HMI, ensuring that the program runs smoothly and that staff adhere to safety protocols and program policies. This role plays a vital role in ensuring the smooth operation of our youth-centered programs and services. It involves supervising a team of staff members, facilitating staff meetings, managing daily operations, overseeing data collection functions, and serving as the primary point of contact for youth-related crisis interventions. The Site Supervisor will collaborate closely with internal teams, including counseling staff, Member Navigators, Pantry Coordinators, and Kitchen Managers, as well as external partners such as Harvey Milk High School and community organizations to support the needs of the youth we serve.

Day-to-day Programmatic Site Oversight

1. Staff Oversight & Compliance:

o Ensure staff compliance with safety protocols, program policies, and procedures.

o Provide direct supervision to Member Navigators, Pantry Coordinator, and Chef/Kitchen Manager.

o Assist with staff onboarding, training, and performance evaluations.

o Monitor staff performance and address any issues or concerns promptly.

2. Daily Program Operations:

o Ensure smooth flow of daily program activities, ensuring that all scheduled services and activities take place as planned.

o Manage the staff duty schedule and ensure appropriate coverage for all shifts.

o Support with special events, ensuring they are well-organized, inclusive, and align with program objectives.

o Oversee the organization, order and structure of the front desk workspace

o Responsible for ordering all program supplies for HMI programs floor

3. Crisis Intervention & Youth Support:

o Lead all crisis intervention responses during program hours, providing support to staff and youth in high-stress or emergency situations.

o Act as the main point of contact for handling critical incidents, including emotional, behavioral, or safety-related crises.

4. Staff Circle Meetings & Team Collaboration:

o Convene and facilitate daily staff Circle meetings to ensure clear communication, support, and team-building.

o Collaborate with the counseling team and other key staff to address ongoing youth issues, ensure proper care, and provide programmatic updates.

5. Data Collection & Reporting:

o Support data collection functions, ensuring accurate and timely reporting of program outcomes, incidents, and participant progress.

o Oversee the maintenance of program records in compliance with organizational and regulatory standards.

6. Partnership Liaison & Communication:

o Liaise daily with key staff from counseling teams, partner organizations, and Harvey Milk High School regarding youth needs, program operations, and any emerging concerns.

o Maintain strong relationships with external community partners to ensure coordinated services and advocacy for the youth in the program.

o Collaborate with Development Team to conduct tours of the HMI Program Space.

Administrative & Other Duties

Track youth member enrollment/activities and contractual requirements, and prepare reports and paperwork requested as needed by agency or funders.

1. Maintain client-level data, including follow-up notes and referral logs.

2. Maintain group-level documentation, including sign-in sheets and session summaries in Salesforce

3. Document, code, and enter data for program analysis.

4. Submit all necessary documentation to Data Coordinator(s).

Participate in professional development trainings

Knowledge, Skills, and Abilities Required:

  1. Bachelor's degree in Social Work, Psychology, Youth Development, or related field (or equivalent experience).
  2. Minimum of 2-3 years of experience working in a supervisory role in a youth-centered program, preferably within the LGBTQIA+ community.
  3. Experience in crisis intervention and youth mental health support.
  4. Strong understanding of LGBTQIA+ youth issues, including social, emotional, and mental health challenges.
  5. Knowledge of safety protocols, confidentiality standards, and best practices in youth programming.
  6. Excellent communication, leadership, and interpersonal skills.
  7. Ability to manage multiple tasks, prioritize, and maintain a calm demeanor in high-pressure situations.
  8. Strong organizational skills and experience with data collection, reporting, and administrative functions.
  9. A commitment to creating an inclusive, safe, and welcoming space for LGBTQIA+ youth, with the flexibility and adaptability to evolve the program based on needs.
  10. Empathy, patience, and the ability to engage with youth in a supportive and non-judgmental manner.
  11. Ability to work on-site and manage various program activities, including standing, walking, and facilitating group activities.
  12. Ability to respond to emergencies and provide support during crisis interventions.

Working Conditions:

  1. Work at 2 Astor Place, NYC
  2. Standard Hours are Mon - Fri, 12:00 PM - 8:00 PM, with an hour lunch break; occasional schedule changes for outreach work and events.
