System One is seeking a highly organized and detail-oriented Site Safety Office Administrator to support the daily operations at our construction site in Springfield, IL. This role is pivotal in ensuring adherence to safety protocols while managing crucial administrative tasks. The ideal candidate will possess strong communication skills, basic computer proficiency, and the ability to multitask effectively in a dynamic environment.Key Responsibilities:- Daily Timekeeping: Accurately record and track the work hours of all site personnel.
- Daily Reports: Compile, prepare, and distribute site activity reports each day.
- Procurement Management: Oversee procurement needs and handle offsite errands as necessary.
- JSA Documentation: Ensure all Job Safety Analysis (JSA) documents are completed and systematically uploaded.
- Safety and Execution Plans: Assist in maintaining and updating safety execution plans as required.
- Site Observation Report (SOR) Program: Monitor the SOR program to ensure compliance and proper documentation.
- Inspection Documentation: Track and maintain records of equipment inspection reports.
- Meeting Preparation: Prepare agendas and supporting documents for weekly safety meetings.
- Software Maintenance: Update project-related information in PROCORE and EHS Insight.
- New Hire Documentation: Compile onboarding paperwork and maintain up-to-date training records for new hires.
- Meeting Minutes: Record and distribute minutes from customer meetings.
- Documentation Support: Aid site personnel in documenting and reporting changes to project conditions.
Qualifications:- Basic computer knowledge and troubleshooting abilities.
- Previous administrative experience, preferably in the construction industry.
- Strong organizational and multitasking skills with meticulous attention to detail.
- Familiarity with construction safety practices and documentation is a plus.
- Excellent written and verbal communication skills.
- Ability to work independently as well as collaboratively with on-site personnel.
- Valid driver’s license with a good driving record for offsite errands.
- Must successfully pass job site-required drug testing.
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook, Teams) is preferred but not required.
