Job summary

Reily Foods Company is seeking a Shipping Coordinator at our Knoxville Plant to schedule carrier appointments and ensure orders are communicated to the distribution team. You’ll manage paperwork for shipping, receiving, and returns, and keep the shipping office organized and compliant.

The role requires attention to detail, reliable documentation, and teamwork to support on-time deliveries and safety procedures.

Qualifications

• Intermediate computer skills and ability to learn new software quickly.
• Proficient with Word, Excel, and Outlook.
• Strong attention to detail, organizational skills, and ability to meet deadlines.
• Basic math skills.

Responsibilities

• Schedules all pickup and delivery appointments with carriers within a reasonable time frame.
• Checks in drivers and enters all required documentation.
• Maintains files and scans all required documentation.
• Enters pickup and delivery information on loading/unloading forms.
• Assigns drivers to dock doors and ensures proper loading marks on freight.
• Monitors open orders to avoid shortages and delays.
• Completes safety inspections and supports with loading as needed.
• Participates in annual physical inventories and safety training.

Job Summary

TheShippingCoordinatoris responsible forensuringthat allcarrierappointments are scheduled,customer ordersare communicatedwith the distribution teamto confirm items are staged and ready,paperwork associated with shipping, receiving and returnsare completedand accurate and theshippingoffice isprofessional,organizedand clean.

Essential Functions and Responsibilities

• Schedulesall pick-up and delivery appointments with carriers with reasonabletime framesto complete
• Checks in drivers and enters all required documentation
• Maintains files and scanning of all required documentation
• Accurately enters all pickup and delivery information on the loading or unloading forms
• Assigns drivers to dock doors and ensures freight is marked appropriately on dock for correct floor to door loading
• Ensures work is sent to the floor for picking within a reasonabletime frameto accomplish
• Monitors potential shortages and checks all open released orders to avoid potential cuts
• Marks allpick-upsthat are late with a reason code
• Ensures proper items are filled in on the Bill of Ladings, seal, trailer number, pick up numbers,andPro numbers
• Handles all UPS and FedEx shipping
• Completes a safety inspection of all fire extinguishers and fire hoses monthly
• Assistswith loadingasneeded
• Seeksadditionaltasks when assigned work is completed
• Participates in annualand other periodic physical inventorycyclecounts
• Follows all safety procedures andactively participatesin safety trainingand safety system ownership initiatives
• Maintains safe and efficient use of equipment, tools, and person; reports any injury,accident,or unsafe conditionto supervisorimmediately
• SupportsandcomplieswithGMP’s; understandsand followsemergency action plan
• Supports food safety, quality,and legality
• Ensures the operation is providing food-safe, quality products which meet or exceed all product specifications and regulatory requirements
• Other duties as assigned
