Job summary

South Puget Intertribal Planning Agency (SPIPA) is seeking a SHEAP Coordinator to manage day-to-day administration of the State Home Energy Assistance Program. The role serves tribal households across SPIPA’s five member Tribes, handling intake, eligibility, and benefits within established policy, and coordinating with Commerce requirements.

The position is on-site within SPIPA’s Family and Community Resources department, reports to the Programs Manager, and requires travel and strong

Qualifications

• Associate degree or 2+ years in energy assistance, social services, case management, benefits eligibility, or related field.
• Experience determining eligibility, managing application paperwork, or maintaining client files.
• Proficiency with Microsoft Office and comfort learning web-based intake and reporting systems.
• Valid Washington State driver’s license and ability to travel regularly within the service area.
• Ability to pass a background check.

Responsibilities

• Intake and Eligibility: process applications in person, by phone, and electronically; verify eligibility and required documentation; determine benefits using the matrix; notify applicants of eligibility and next steps; maintain confidential records.
• Payments and Vendor Coordination: prepare and track payments to utilities and vendors; resolve discrepancies; assist with referrals and documentation; reconcile expenditures.
• Outreach: conduct outreach to eligible households across Tribes; travel for intake and meetings; prepare outreach materials.
• Reporting and Compliance: maintain data and reports; enter records in state and SPIPA systems; follow policies and assist with audits and monitoring.
• Other: attend required training; perform other duties; collaborate with SPIPA programs.
