Job summary

The University of Minnesota College of Veterinary Medicine seeks a Shared Services Director to provide strategic leadership and operational oversight for the college's new shared administrative services organization. You will ensure units receive consistent, high-quality support while enabling efficient, equitable service delivery across the college.

Reporting to the COO, you will establish common service standards, balance resources, and drive continuous improvement.

Qualifications

  • BA/BS in business administration or related field and a minimum of 8 years of related experience.
  • Experience with higher education, clinical service or research programs, and/or the University of Minnesota.
  • Experience leading organizational change and working with diverse clients.

Responsibilities

  • Oversee shared administrative service teams and allocate resources across units.
  • Develop and monitor service-level standards and reduce redundancy.
  • Lead and mentor managers and leaders to build leadership capabilities.

About the Job

The Shared Services Director provides strategic leadership andoperational oversight for the college's new shared administrativeservices organization. This role ensures units receive consistent,high-quality support while enabling efficient, equitable servicedelivery across the college. Reporting directly to the COO, theShared Services Director is responsible for establishing commonservice standards, balancing resources across units, andcontinuously improving the unit support model. Working through theCOO, the Shared Services Director acts as a critical conduitbetween the CVM Leadership Team (Administrative Council) and theAdministrative Teams to ensure alignment on vision, priorities andexecution.

Job Responsibilities
50% - Operational & Process Management
  • Resource Allocation: Oversee the shared administrative serviceteams, balancing workload and aligning staffing and resources to changing priorities to maintain continuity and equity across the college.
  • Establish Standards: Develop and monitor service-level standards(e.g., turnaround times, quality, responsiveness)across the shared services model; identify and implement processsimplifications.
  • Reduce Redundancy: Ensure teams create and maintain clear,documented processes and utilize consistent tools,templates, and workflows to eliminate duplication and silos.
20% - Supervision
  • Build the Pathway: Foster a supportive environment thatprioritizes staff engagement, retention, and professional growth.
  • Develop Future Leaders: Establish consistent expectations forteam members, provide targeted professional development, and actively coach Functional Managers andAdministrative Partner Lead to build their leadership and supervisory capabilities.
  • Management: Supervise and evaluate the work of managers (2), lead(1), and associate (1)
20% - Relationship & Stakeholder Management
  • Central Alignment: Partner closely with HR, Finance, IT, andMarComm leaders to clarify roles and boundaries between sharedservices and collegiate units, proactively resolvingcross-functional issues.
  • Feedback Loops: Build continuous feedback loops and maintainstrong relationships with academic unit leaders to surface emergingneeds, inform long-term planning, and mitigate operational risksearly.
  • Advocacy: In partnership with the COO, represent shared servicesin college-wide planning, change initiatives, and decision-making.Participate in Administrative Council meetings whenappropriate.
10% - Strategic Leadership & Change Management
  • Define the Future State: Set the strategy, priorities, andoperating model for the shared services function in partnershipwith the COO and with guidance from the AdministrativeCouncil.
  • Lead the Transition: Establish the new Shared Services team bydriving key hiring decisions, setting team norms, and activelyguiding both staff and faculty stakeholders through the culturaltransition.
  • Connect People to Vision: Act as a true leader by inspiring theteam, managing change with empathy, and helping staff navigateambiguity during the realignment.
