We are seekging a Shared Services Assistant to join the firm. The Shared Services Assistant is responsible for managing, troubleshooting, organizing, and creating documents for lawyers, paralegals, and allied professionals, ensuring seamless support in a global 24/7/365 environment. In this role, you will provide support to all K&L Gates’ offices around the world.
KEY RELATIONSHIPS
Firmwide Lawyers and allied professionals.
ESSENTIAL DUTIES
• Create, format, and revise Word, Excel, PowerPoint, and PDF documents to align with various style requirements;
• Troubleshoot and repair problem documents, including support via remote assistance;
• Add and update cross-references, tables of contents, tables of authority, and automatic numbering;
• Generate comparison documents;
• Transcribe various audio files, handwritten notes and dictations;
• Save and manage files in the file management system;
• Create diagrams and charts in Word and PowerPoint;
• Assist with mailings by creating mail merged documents and labels;
• Perform word-for-word checks of documents converted from PDFs to assure accuracy;
• Record time entries for lawyers, paralegals, and other timekeepers;
• Assist with data entry, formulas, and sorting features via Excel;
• Assist with creating tickets for and managing the request queue.
ADDITIONAL DUTIES
EXPERIENCE SKILLS REQUIRED
• High school diploma or equivalent. College degree or some college preferred;
• Prior relevant experience in a professional environment; legal industry experience strongly preferred;
• Advanced knowledge of MS Office and Adobe Acrobat Professional required;
• Demonstrated ability to produce accurate documents in a fast-paced, 24/7/365 deadline-oriented environment;
• Excellent verbal and written communication skills;
• Demonstrated commitment to confidentiality, integrity, and sensitivity;
• Dedication to delivering high quality customer service;
• Demonstrated ability to understand and follow specific, detailed instructions;
• Ability to learn new technologies;
• Ability to self-manage in a remote environment with demonstrated history of innovative thinking, proactive planning, and being a team player.
ADDITIONAL ABILITIES REQUIRED
• Anticipate, plan, and prioritize work;
• Manage competing demands to meet deadlines;
• Exhibit flexibility in high pressure situations;
• Work overtime when business needs dictate to meet deadlines;
• Demonstrate a desire to learn new procedures and software packages as business evolves;
• This job operates in a remote environment and is largely sedentary, requiring the routine use of a computer and other standard office equipment. High-speed internet, and a quiet dedicated workspace is required.
Compensation Salary $48,000 - $72,000
The compensation salary for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors.
