Ultipro, based in the United States, seeks an organized office administrator to serve as the first point of contact and support the service department. The role includes screening calls, managing visitor flow, processing timecards, and assisting with payroll reconciliation on a biweekly cycle.
The position requires strong computer skills, teamwork, and professional interaction with customers, suppliers, and staff; familiarity with AS400 and Microsoft Office is a plus. Overtime may be required.
Serve as initial contact person, receive and screen calls and visitors.
Coordinate the flow of communication through the assigned office in an efficient and effective manner with staff, the general public, businesses, and others, take messages as appropriate.
Enter all timecards for technicians.
Reconciles all payroll entries before payroll is run biweekly.
Perform miscellaneous typing for the service department.
Assist with filing from other areas of the shop office.
Create work order jackets for all cost centers.
Scan completed work orders.
Make hotel/flight reservations as needed.
Perform a variety of general clerical duties including maintaining and filing records, verifying accuracy of information, and recording information.
High school graduate or equivalent.
Ability to work in a team environment.
Must be able to operate a PC, dealer AS400 computer system, all related software, e-mail, calculator, telephone, fax machine, copy machine, and printer.
Ability to work with customers in a professional manner and develop/maintain relationships
Material and equipment directly used: Computer terminals, personal computer, calculator, telephone, fax machine, copy machine, and printers.
Ability to walk up and down stairs.
Frequent sitting/standing for long periods using a computer
Frequent use of hands for simple grasping, pushing, pulling, and writing and typing
Overtime and varying schedules may be required
Professional dress code is required.
