Job summary

Integrated Power Services, LLC. is seeking a Service Support Coordinator to handle billing, invoicing, and administrative tasks within our order-to-cash process. You will coordinate with Field Services and Repair Services to ensure accurate documentation and timely processing of requests.

The role requires strong organization, communication, and problem-solving skills, with a focus on delivering quality service to customers and supporting month-end close activities.

Qualifications

  • 3+ years of order processing, billing/invoicing and/or administration experience.
  • High school diploma or GED required; associate or 4-year degree preferred.
  • Excellent computer skills including Microsoft Office (Excel, Word and Outlook) required.
  • Ability to work under pressure, manage multiple priorities and meet deadlines.

Responsibilities

  • General office duties and administrative tasks including answering the phone and mail.
  • Prepare jobs for invoicing, collecting all supporting documentation.
  • Create the invoice and either upload through client portals or email direct to the client.
  • Purchase/order all parts/materials for repair and field service jobs.
  • Follow-up with vendors on material status and expedite delivery.
  • Manage order processing, purchase orders, and equipment rentals.
  • Assist in order issue resolution and maintain job files and contracts.
  • Assist accounts receivable with collections and review sales tax certificates.
  • Support month-end closing and special projects as needed.
  • Liaison between customers and internal teams for timely resolution of issues.

Responsibilities & Expectations:

As a Service Support Coordinator, you will assist Field Services and the Repair Services by carrying out administrative duties such as billing, resolving customer issues and order processing. Responsibilities extend to resolving order issues, record maintenance, administrative tasks, and aiding in month-end closing. This position contributes to achieving service center financial goals and aligns with organizational objectives.

  • Support Field Services as needed scheduling field service jobs and preparing quotes
  • Additional support tasks as assigned.
Qualifications and Competencies:
  • 3+ years of order processing, billing/invoicing and/or administration experience required.
  • High school diploma or GED required; associate or 4-year degree preferred.
  • Excellent computer skills including knowledge of Microsoft Office (Excel, Word and Outlook) required.
  • Ability to work under pressure, manage multiple priorities and meet deadlines.
  • Excellent problem solving and analytical skills.
