Job summary

Dexian is seeking an on-site Dispatch/Administrative professional for the Pelham, Alabama area. You will answer phones, input customer data, schedule appointments, and support technicians with parts and POs.

The role requires maintaining calendars, coordinating meetings, and ensuring timely follow-ups while safeguarding confidential information. It emphasizes organization, reliability, and clear communication within a fast-paced team.

Qualifications

• 2 years of HVAC industry experience.

• Timely, reliable, and detail-oriented.

Responsibilities

• Answer phones and schedule appointments per service line.
• Book T&M jobs, order parts, or issue POs for T&M as needed.
• Dispatch as needed.
• Ensure parts are returned to RC promptly.
• Return calls when applicable.
• Keep warehouse organized and moving parts; no heavy lifting.

Job description

Answers phones and emails, schedules and confirms appointments, and inputs customer data into company systems. Organizes workflow and appointment by reading and routing correspondence, collecting customer information, and managing assignments. Manages department schedule by maintaining calendars for department personnel and arranging meetings, conferences, teleconferences, and travel. Completes requests by greeting customers, in person or on the telephone, and answering or referring inquiries. Maintains customer confidence and protects operations by keeping information confidential. Keeps equipment operational by following manufacturer instructions and established procedures. Secures information by completing database backups. Provides historical reference by utilizing filing and retrieval systems.

• Book T&M jobs, order parts, or issue POs for T&M as needed.
• Dispatching as needed
• Ensuring parts are returned to RC in a timely manner
• Need to return calls when applicable
• Keep warehouse organized moving parts around - (no heavy lifting or machine operation)
