Job summary

Heritage Tractor is seeking an Assistant Service Manager in Brimfield, IL to support the daily operations of the Service Department. You will coordinate service work, manage the work order process, and help deliver a positive customer experience from scheduling through invoicing.

Responsibilities include supervising service flow, scheduling, monitoring job progress, and preparing invoices. Ideal candidates have a high school diploma and experience in service operations or dealership

Qualifications

Experience in service department or dealership preferred.
Knowledge of invoicing and warranty processes preferred.
Strong customer service and interpersonal skills.
Basic understanding of accounting principles related to invoicing.

Responsibilities

Support the Service Manager and maintain a consistent flow of service work.
Coordinate, schedule, and assign service work based on technician skills, availability, and workload.
Monitor the progress of service jobs and help resolve scheduling or workflow issues.
Manage the work order lifecycle, including opening work orders, reviewing documentation, and preparing completed work orders for customer billing.
Prepare accurate and professional customer invoices using established job codes, estimates, and department procedures.
Communicate with customers regarding service estimates, scheduling, work status, and completion timelines.
