Cascade Machinery and Electric, Inc. is seeking a Service Operations Coordinator to serve as the operational backbone of the shop office. You will work directly with the Field Service Manager and Shop Foreman, ensuring workflow and paperwork move seamlessly.

Responsabilités

• Administrative Support: Provide comprehensive operational support to both the Field Service Manager and the Shop Foreman, managing a high volume of shop paperwork, service logs, and billing documentation.
• Job Intake & Documentation: Receive incoming customer equipment, take preliminary photos of the equipment's arriving condition, and build the physical custom packets for the shop floor.
• Customer Status Updates: Field routine status check calls from customers, check the ERP system or do quick shop floor walk-throughs to provide updates.
• Parts Expediting: Proactively follow up with vendors on ordered parts to ensure delivery dates are met and alert managers of delays.
• Cross-Training: Learn the responsibilities of both managers to step in when needed.

South Seattle, WA (100% On-Site, 5 days a week)

Compensation:

$29.00 - $35.00 per hour ($60,000 - $72,000 per year), depending on experience.

Sign-On Bonus:

$5,000 sign-on bonus for top-tier candidates (paid after 90 days).

Role Overview:

Cascade Machinery and Electric, Inc. is looking for a driven, adaptable Service Operations Coordinator to be the operational backbone of our shop office. You will work directly alongside the Field Service Manager and the Shop Foreman, ensuring workflow and paperwork move seamlessly. The ideal candidate is an eager learner who can master the duties of both management roles to provide critical backup coverage when needed. This is a premium support role designed for a candidate with leadership potential.

Key Responsibilities:

• Administrative Support:
  Provide comprehensive operational support to both the Field Service Manager and the Shop Foreman, managing a high volume of shop paperwork, service logs, and billing documentation.
• Job Intake & Documentation:
  Receive incoming customer equipment, take preliminary photos of the equipment's arriving condition (crucial for liability and quoting), and build the physical "job traveler" packets for the shop floor.
• Customer Status Updates:
  Field routine "status check" calls from customers, checking the ERP system or doing quick shop floor walk-throughs to provide updates without pulling the Foreman away from technical work.
• Parts Expediting:
  Proactively follow up with vendors on ordered parts to ensure delivery dates are met, alerting managers immediately of any supply chain delays.
• Cross-Training:
  Actively train in and learn the responsibilities of both the Field Service Manager and Shop Foreman to confidently step in (dispatching, troubleshooting, quoting, or team coordination) when a manager is out of the office.

Requirements:

Exceptional multi-tasking skills and the ability to pivot quickly between different types of tasks.Superb written and verbal communication skills; comfortable drafting emails, assisting with quotes, and processing billing.Clear and professional in-person communication skills.A highly motivated, "eager to learn" attitude with the technical aptitude to understand machinery and electrical repair workflows.
