Job summary

Southland Industries is seeking an Administrative Support specialist for the Service Team to help respond to customer inquiries, schedule service technicians, and process work orders and billings. You will act as primary liaison for assigned customers and coordinate with field staff to ensure timely service.

This role emphasizes strong communication, organization, and attention to detail, with opportunities to contribute to reports, onboarding, and process improvements within a 100%

Qualifications

• Minimum high school diploma or GED (AA preferred).
• 2+ years related experience and/or training.
• Solid verbal and written communication skills.
• Solid customer service skills.
• Strong ability to multi-task and prioritize.
• Good attention to detail; strong MS Office skills (Excel/Word).

Responsibilities

• Serves as primary point of contact for assigned customers.
• Receives warranty and service calls, determines service needs, and schedules technicians.
• Assigns and dispatches technicians, informs customers of ETAs and delays.
• Manages work order documents and project invoicing (A/P).
• Provides labor resources to support PMs, PEs and techs for projects.
• Coordinates materials, subcontractors, and equipment as needed.
• Generates, interprets, and prints various reports; coordinates dispatch and onboarding.
• Researches and resolves expenses and reports discrepancies; maintains customer accounts.

Position Summary

Provides general administrative support to the Service Team, which may include responding to customer call and inquiries, assigning and dispatching service technicians, processing work orders and billings, and researching and resolving discrepancies.

Position Details

• Serves as primary point of contact for assigned teams’ customers.
• Receives customer warranty calls and service calls,determinesthe nature and extent of the service problem, and schedules theappropriate serviceto address the customer’s needs.
• Assignsand dispatches theappropriate servicetechnician to match the needs of the callin a timely manner.Informscustomers of ETAs andnotifiesthemof any delays as they occur.
• Manages work order documents and projectinvoicing(A/P).
• Provides labor resources to support PMs,PEsand techs for large and small projects.
• Coordinates materials, sub-contractors and equipment based on needs, skillsetsand availability.
• Responsible for generating,interpretingand printing various reports. Dispatch Field Technician and coordination.Facilitatestechnician onboarding.
• Researchesand resolves expenses andreportsdiscrepancies. Updates andretainscustomer account information related to special billing conditions, tax status, invoice approvalcontacts, billingaddressesand special billing rates. Prepares yearly,monthlyand weekly execution plans for Preventive Maintenance, Repair and Replacement work.
• Partners with other team members on accounts receivable and Customer Satisfaction, including Client follow-up / Retention program - Projects & Agreements - and satisfaction management.
• May assist with onboarding and developing Service Administrator.
