Job summary

Holt of California is seeking a shop office administrator to support the service department and mechanics in Stockton, CA. You will handle orders, invoicing, time entry, quotes, and communications with customers.

The role requires a GED or equivalent and 2–3 years related experience, plus strong computer skills. This position emphasizes professional, accurate office operations in a busy service environment.

Qualifications

Responsibilities

• Open, close, and invoice shop work orders.
• Process mechanic labor in automated time system.
• Type quotes, memos, and letters.

• Input and update standard job system.
• Process warranty reports.
• Research repair information for customers, mechanics, and other staff.
• Handle service mail, delivery and pickup.
• Process purchase orders.
• Oversee day-to-day service office operations.
• Maintain and update Service Procedures Manual and Standards.
• Maintain sell rates for divisions.
• Other duties as assigned.

THIS POSITION IS LOCATED IN Stockton, CA

POSITION SUMMARY

Performs all duties of shop office in an accurate and efficient manner to support the service department, mechanics, supervisors, and our customers by performing the following duties.

DUTIES AND RESPONSIBILITIES

• Open, close, and invoice shop work orders.
• Process mechanic labor in automated time system.
• Type quotes, memos, and letters.
• Answer Service department telephones and direct calls.
• Input and update standard job system.
• Process warranty including handling all reports.
• Research repair information for customers, mechanics, and other department employees.
• Handle all service mail including delivery and pick-up.
• Process purchase orders.
• Oversee the day-to-day operations of the Service offices for the division.
• Maintain and update Service Procedure Manual and Standards of Performance.
• Maintain sell rates for individual divisions ensuring accuracy and timeliness.
• Other duties as assigned.

• Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

EDUCATION AND/OR EXPERIENCE

High school diploma or general education degree (GED); and/or two to three years related experience or equivalent combination of education and experience. Strong computer skills a must. Previous Material Handling Service Operations experience preferred.

CERTIFICATES, LICENSES, REGISTRATIONS

Must have a valid driver license and a clean motor vehicle record.

COMPENSATION

Pay Range: $25.00 - $27.00 Hourly

Pay Range Dependent on Knowledge, Skills, and Ability.
