Job summary

Daikin Applied Americas in Davie, FL is seeking a Service Coordinator to support field technicians and customers. In this in-office role you will schedule startups/repairs, coordinate communications, and ensure timely billing and documentation.

You will manage time and attendance, process AP/AR, and help with warranty activities while maintaining OSHA logs and data in the ERP system. The ideal candidate is a high school graduate with 2–4+ years in a mechanical/electrical/plumbing setting and

• 2-4+ years in a mechanical, electrical, or plumbing service field.
• Bilingual fluency English/Spanish required for customer interactions.
• Experience with Astea or other service-tracking software and MS Office.

Responsibilities

• Schedule and dispatch technicians for startups, repairs, warranty, and maintenance.
• Handle customer inquiries and route technical questions appropriately.
• Track time and attendance for technicians and manage communication with customers.
• Coordinate startups and follow up on jobs in progress or completed.
• Invoice and bill customers; assist in AP/AR functions and ensure payments.
• Coordinate warranty administration, parts orders, and shipments.
• Answer phones and greet customers professionally.
• Assist with new hire paperwork and HR onboarding on day one.
• Maintain OSHA logs and enter data into ERP system for work orders and hours.
• Ensure timely close-out of work orders and proper filing of paperwork.
• Gather local prevailing wage data and report technician hours on PW jobs.
• Maintain office equipment filing and respond to routine admin needs.
• Provide initial notification of Workers' Compensation claims to insurer.

Location: Davie, FL - In-Office

Your Responsibilities

• Work with Technician Supervisor and/or Operations, Service Center or District Manager in scheduling and dispatching of technicians for jobs (Startups/repairs, warranty, maintenance)
• Handle customer inquiries and routes questions of technical nature to the appropriate resource
• Tracking of time and attendance for technicians
• Coordinate job startups and maintain communication with the customer regarding scheduling for the startup and follow-up on jobs in progress/completed
• Invoice and bill customers
• Assist in performing local office AP/AR functions and follows up with customer to ensure that payment has been received
• Coordinate warranty administration process, parts orders, and track shipments
• Answer telephones and greet customers while maintaining professional and courteous customer contact
• Assist new hires in the completion of their new hire paperwork, complete employer required sections of forms (I-9) and ensure that it is sent to Human Resources on the new employee's first day of employment
• Maintain OSHA logs
• Enter all information and maintain information into Enterprise Resource System. This includes work orders, new customer information, and technician hours for billing purposes
• Ensure timely close-out on all work orders and that all associated paperwork (P.O., etc.) is received and filed with the proper job
• Responsible for gathering local prevailing wage rate and completing sending hours worked by Technicians on those PW jobs to Human Resources
• Maintain filing for and office equipment (copier, telephone, fax, etc.)
• Provide initial notification of Workers Compensation claims to insurance carrier

Your Qualifications

• High School Diploma or GED
• 2-4+ years of related experience in a mechanical, electrical, or plumbing service field
• Bachelor's degree may be considered in lieu of work experience
• Bilingual fluency in English and Spanish required for communicating with customers, coworkers, or vendors as part of essential job functions
• Experience working with HVAC Technicians (preferred)
• Experience with Astea and/or any other service tracking software
• Proficient knowledge of Microsoft Office Suite

The typical hourly pay rate for this position ranges from $23.65 - $37.69 in Florida. The range displayed represents the pay range for all positions in the job grade which this position falls. Individual base pay will depend on a wide range of factors including your skills, qualifications, experience, and location.
