Essential Duties
- Assist with calls, emails, or special situations for team members to ensure a positive customer experience
- Maintain daily open repair orders for all advisors and service managers
- Notify management of urgent service cases and resolve or escalate as needed
- Verify accurate technician repair documentation
- Ensure all supporting documentation for repairs is attached to repair orders
- Coordinate with extended warranty companies for claims and approvals
- Manage schedules related to service contracts, insurance receivables, and other items
- Post, review, and verify the accuracy of journal entries and transactions
- Assist with warranty information and support for the service team
- Update open repair order lists weekly
- Work with the team to ensure excellent customer service
- Document updates in DealerOps weekly
- Handle payroll for technicians and staff, including verification and submission
- Prepare end-of-month reports and closeout documents
- Perform accounting activities and analyze financial data as needed
- Utilize Dealer Track, DealerOps, Excel, Word, and other software efficiently
- Perform other duties as assigned
Qualifications
- Strong organizational skills to maintain records as required
- Detail-oriented to ensure proper documentation and compliance
- Team player with excellent communication skills
- 2-4 years related experience or equivalent education
- Ability to read, write, and interpret manuals and instructions
- Effective presentation skills for one-on-one and group interactions
- Basic math skills
- Ability to interpret various instructions and schedules
- Valid Driver's License
Physical Demands
- Prolonged sitting, typing, and communication tasks
- Occasional lifting up to 10 pounds
- Visual acuity for data analysis and reading
Work Environment
