Job summary

MERJ Fleet Services, Inc. in Rochester, NY is seeking a full‑time role supporting repair orders, scheduling, and customer communications. You’ll work with QuickBooks for orders, prepare estimates with the shop team, and coordinate with technicians and customers to ensure timely repairs.

Qualifications

• Parts ordering experience: 1 year (Preferred).
• Service advising with truck and trailer repair: 3 years (Preferred).

Responsibilities

• Create repair orders for customer vehicles in QuickBooks with vehicle info and mechanical issues before arrival to shop.
• Determine schedules, sequences, and assignments for work activities based on priority, equipment and technician skills.
• Communicate estimates and cost changes to customers during repairs and completion of jobs.
• Schedule repair appointments with customers, obtain approvals, and follow up.
• Create estimates for customers in coordination with Parts and shop manager.
• Provide inspection forms to mechanics for completion.
• Manage and report customer PM history and notify customers of upcoming maintenance.
• Answer phones for Rochester garage and coordinate with shop manager for service repairs.
• Complete written work orders with pricing and labor descriptions, reviewing repair stories with Foreman.
• Enter COD work orders into QuickBooks and process payments (credit cards, checks, cash).
• Schedule bulk DEF, oil, propane tank deliveries.
• Invoice third-party accounts with customers.
• Coordinate with sublet vendors involved in repairs.

• Creating repair orders for customer vehicles in QBs with documenting necessary vehicle information and mechanical issues/problems before vehicle arrives to shop.
• Determine schedules, sequences, and assignments for work activities, based on work priority, quantity of equipment, and skill of technicians.
• Communication between you and the customers pertaining to estimates, change in cost accrued during repair and completion of job.
• Emphasis placed on ability to successfully interact with customers for scheduling repair appointments, repair approvals, and follow-up.
• Creation of estimates for customers in coordination with Parts, and shop manager.
• Responsible for providing customer inspection forms to the mechanics for completion.
• Manage and report customer PM history and notify customers of upcoming maintenance due.
• Answer phones for Rochester garage and coordinate with shop manager for service repairs.
• Completion of written work orders with all parts pricing and labor descriptions, which includes reviewing mechanics repair stories for accuracy in coordination with Foreman.
• Responsible for entering any COD work orders into QBs, accepting payment from COD customers and processing credit cards, check and/or cash payments.
• Scheduling bulk DEF, oil, propane tank deliveries.
• Responsible for invoicing 3rd party accounts with customers.
• Must coordinate with any sublet vendors involving repairs.
