Job summary

Rush Enterprises, Inc. is seeking a Service Administrator to manage day-to-day accounting, time keeping, and record-keeping while supporting the Service Manager, Service Advisor, and Service Foreman.

The role requires handling repair orders, invoicing, and customer communications in a fast-paced service environment. Responsibilities include obtaining vehicle details, closing RO’s promptly, reviewing orders for completeness, and ensuring accuracy of technician notes and parts billing.

Qualifications

  • High School diploma or GED.
  • One month service experience and/or training; or equivalent combination of education and experience.
  • Valid Driver’s License and good driving record.

Responsibilities

  • Begin repair order process by obtaining required vehicle information (year, make, model, VIN, mileage).
  • Close repair orders correctly and in a timely manner.
  • Review repair orders to ensure completion and note any additional work/authorizations.
  • Verify technician comments are accurate and appropriate.
  • Check parts for accuracy and ensure sign-off on billed parts.
  • Enter/adjust technician time for non-warranty repairs per foreman notes.
  • Ensure charges for machine oil/gear oil and supplies are billed and documented.
  • Provide customer with repair order review, explain completed work and charges.
  • Obtain customer purchase orders when necessary.
  • Secure credit authorization when necessary.
  • Close non-warranty repair orders.
  • Provide, mail, or email invoices.
  • File completed repair orders by RO number.
  • Maintain records of repairs and hours per job.
  • Provide daily billed-hour reports to technicians.
  • Assist in input/reporting in Rush ServiceLink.
  • Perform general office duties (filing, typing, faxing).
  • Monitor and order office supplies.
  • Operate PC-based programs and invoicing systems.
  • Demonstrate Rush Driving Principles and positive citizenship.

The Service Administrator is responsible for day-to-day accounting, time keeping, and record keeping functions. The Service Administrator is also responsible for assisting the Service Manager, Service Advisor, & Service Foreman in the performance of their duties.

Responsibilities:
  • Begin repair order process by obtaining required vehicle information, to include year, make, model, VIN and mileage.
  • Must be able to close R.O.’s correctly and in a timely manner.
  • Review repair orders to ensure that work is completed and additional work and authorizations are noted.
  • Review all technician comments are accurate and appropriate.
  • Review parts on operations are correct (based on level of experience, foremen may need to review), verify parts personnel sign off on parts billed.
  • Enter or adjust all technician time in the business system for non-warranty repairs, from foreman notation on repair orders.
  • Ensure machine charges, oil, gear oil, other supplies, and sublet repairs are properly billed and documented on repair orders.
  • Print customer review of repair orders. Contact customers and advise repairs are complete. Explain completed work and all charges to customers.
  • Obtain customer purchase orders when necessary.
  • Secure credit authorization when necessary.
  • Close out all non-warranty repair orders.
  • Provide, mail, or e-mail invoices.
  • File completed repair orders by repair order number.
  • Keep records of repairs and hours required on each job.
  • Provide technicians with billed hour flag sheet reports daily.
  • Assist in the input and reporting in Rush ServiceLink.
  • Perform general office duties, i.e. filing, typing, faxing, etc.
  • Monitor and order office supplies.
  • Understand and operate various PC based programs and invoicing systems.
  • Must demonstrate positive corporate citizenship and the Rush Driving Principles.
