Essential Job Functions

This is supervisory work overseeing the day-to-day operations of a Division of 13 employees. Organize and manage workflow to ensure the work is performed according to guidelines and regulations. Maintain proper documentation and deliver feedback to employees regarding job performance, attendance, and disciplinary actions. Interview and participate in selection of new employees. Train all employees in performing all aspects of the Courtroom Clerks? duties. Communicate daily with the Senior Manager and the Chief Deputy Clerk regarding office policies, procedures, productivity, attendance and disciplinary actions. Process payroll timesheets. Prepare annual performance evaluations

Essential Duties And Responsibilities

Train, coordinate, and supervise work in a Division of 13 employees to ensure work is completed in a timely and accurate manner

Maintain proper documentation and deliver feedback to employees regarding job performance (including preparation of performance evaluations), attendance (approving / denying leave requests and timesheets), and disciplinary actions.

Attempt to resolve conflicts that arise or answer questions involving employees, other Court agencies, and others within the Judiciary.

Establish and maintain effective working relationships with employees, other agencies, peers within the Clerk?s Office, the public and members of the bench.

Interview and participate in the selection of new employees.

Participate on local and statewide committees. Review changes in laws by legislature and ensure they are incorporated into daily office procedures; request modifications to current processes to comply with law changes and improve court operations.

Education

Minimum Qualifications:

High school diploma (or GED equivalent)

Experience

Five (5) years of work experience in court operations in a trial or appellate court in the United States, or in the fields of criminal justice, parole and probation, or legal or financial services, to include three (3) years of the aforementioned court experience.

The required experience also must include two (2) years of supervisory experience (or a combination of one (1) year of supervisory experience, plus one (1) year of lead experience specifically within court operations).

Note

A Bachelor?s degree may be substituted for two (2) years of the required work experience.

A Paralegal/Associate degree or 60 college credits may be substituted for two (2) years of non-court work experience.

A Paralegal Certificate may be substituted for one (1) year of non-court work experience.

Knowledge Of

Knowledge, Skills, and Abilities:

Reading and applying job-related terminology, codes, policies, procedures, rules, regulations, and laws as required to exercise judgment in their interpretation and application.

Defining problems, collecting, and recording data, establishing facts, drawing valid conclusions, applying common sense understanding and making decisions based on knowledge and experience to solve problems in accordance with established policies and procedures.

The functions, duties, policies, procedures, and forms of the Division to recommend modifications to improve practices.

Skill In

Operating a personal computer and/or laptop to perform basic data entry error-free and use a desktop scanner and printer.

Operating a multiple line telephone and answer incoming telephone calls in a respectful and professional manner; repeat information in the correct text it was given.

Operating a copier to make copies, fax documents and scan documents to email.

Interpersonal, leadership and training.

Ability To

Communicate verbally and in writing utilizing proper grammar, punctuation, and spelling in an effective, patient, and tactful manner with internal and external customers, including co-workers.

Listen to verbal instructions and/or review written instructions to fulfill requests and complete various tasks.

Articulate directions, instructions and information in a group or a one-on-one setting to Attorneys, Defendants, Judges, Magistrates, Court staff and other Court agencies using proper word tense and annotation.

Multi-task by organizing, setting priorities, focusing, and concentrating to simultaneously process work and responsibilities error-free within considerable time constraints and in an environment with continuous interruptions; make corrections as needed.

Read and interpret comments, notations, and orders, record essential information, and initiate appropriate course of action.

Handle sensitive or difficult situations in an effective and diplomatic manner, including the ability to properly maintain confidentiality of sensitive topics, particularly regarding employee matters

Physical Requirements

Sedentary work . Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Use of a rolling cart to distribute items (such as equipment or exhibits) to other locations is sometimes necessary.
