Senior Specialist, Resource Management
The position reports to the Resource Manager or Director, Resource Management and focuses on supporting the execution of the Resource Management function through ownership of staffing workflows, reporting, and system data integrity. The role serves as a key operational partner, ensuring accurate and timely staffing data, delivering reliable utilization reporting, and acting as a subject matter expert (SME) for the PSA and staffing tools.
Workflow Ownership & Execution
- Own and execute end-to-end staffing workflows (request intake, tracking, updates, and reporting)
- Ensure all staffing activities are accurately reflected in systems and aligned with defined processes
- Identify and resolve data inconsistencies, escalating issues as needed
PSA & Staffing Tool Subject Matter Expert
- Serve as a functional SME for the PSA and staffing tools, supporting day-to‑day system usage
- Provide guidance to consultants and leaders on data entry standards, staffing processes, and tool functionality
- Assist with onboarding and training of new users
- Maintain system data integrity and support ongoing enhancements
Metric Tracking & Reporting
- Own the creation and delivery of utilization, capacity, and staffing reports
- Maintain and validate key KPIs, ensuring accuracy and consistency across reporting outputs
- Support analysis of forecasted vs. actual utilization, highlighting discrepancies
- Respond to ad‑hoc reporting requests with a focus on data quality and timeliness
Data Integrity & Quality Control
- Perform regular data audits to ensure accuracy across staffing systems
- Maintain consistency between PSA data, reporting outputs, and staffing records
- Establish and reinforce data standards and best practices
Resource Management Support
- Support Resource Managers by maintaining visibility into consultant availability, skills, and assignments
- Assist with tracking staffing pipeline and ensuring updates are reflected in systems
- Prepare data and reporting to inform staffing decisions
Process Improvement
- Identify opportunities to improve workflows, reporting efficiency, and data quality
- Document and maintain staffing processes and system usage guidelines
- Contribute to standardization efforts across the resource management team
Qualifications
- 2–4 years of experience in professional services, operations, HR, or data/reporting roles
- Strong experience working with staffing systems, PSA tools, or CRM platforms (e.g., Dynamics, Salesforce, or similar)
- Advanced proficiency in Excel (data organization, formulas, reporting support)
- Strong attention to detail with a focus on data accuracy and quality control
- Ability to manage multiple workflows and prioritize effectively
- Strong communication skills and ability to support stakeholders across levels
- Strong ownership of processes and reporting outputs
- High degree of accuracy and data integrity
- Confidence serving as a go‑to resource for PSA/staffing tools
- Ability to translate data into clear, reliable insights
- Proactive identification of issues and opportunities for improvement

- Bachelor’s degree required

Work Environment
- Travel required: 0–10%
- The role is based in Chicago and requires 3 days per week in the office
- Work is regularly performed in a combination of office/home office and routinely uses standard office equipment
- It may require the maintenance of a home office and proximity to an airport for work‑related travel
