Charles Schwab Trust Bank supports retirement plan sponsors, advisors, and their partners through trust, custody, trading, and operational services. As a Senior Specialist, Cash Operations, you’ll serve as a senior technical resource for a team responsible for the accurate and timely processing of retirement plan distributions and payments while supporting controls that help mitigate financial, operational, regulatory, and reputational risk.

In this role, you’ll help coordinate daily production priorities, balance workflow demands, and provide hands-on technical guidance to support high-quality operational outcomes. You’ll motivate and support team members, reinforce accountability, and act as an escalation point for complex or high-risk transactions. While this position does not have formal people-management or career‑development responsibilities, you’ll provide day-to-day coaching on procedures, quality expectations, and technical execution.

Working closely with team leadership, internal business partners, and external vendors, you’ll help resolve complex issues, monitor service levels, identify operational risks, and strengthen controls. You’ll provide quality oversight through transaction reviews, trend analysis, root-cause identification, and timely escalation of errors or control gaps.

You’ll also contribute to process improvement initiatives, procedure maintenance, onboarding and technical training, system testing, operational enhancements, and readiness for audits or regulatory reviews. Key Responsibilities

• Serve as a senior technical resource and subject-matter expert for cash operations, retirement plan distributions, payments, and related workflows.
• Support daily production by helping prioritize work, monitor volumes and service levels, and redirect resources in partnership with team leadership when business needs change.
• Provide real-time technical guidance, answer procedural questions, and support team members in resolving complex, urgent, or high-risk transactions.
• Motivate and support the team by reinforcing shared goals, promoting collaboration, recognizing strong execution, and maintaining a solutions-focused environment.
• Provide quality oversight through transaction reviews, quality monitoring, error-trend analysis, root-cause assessment, and follow-up on corrective actions.
• Identify and elevate operational, financial, regulatory, or reputational risks, control gaps, service concerns, and recurring defects to leadership.
• Partner with leaders, business partners, and vendors to research and resolve escalations, clarify ownership, and drive issues to completion.
• Support onboarding and technical training, including procedure education, demonstrations, job aids, and reinforcement of quality and control expectations.
• Maintain and improve procedures, desktop instructions, controls, and other operational documentation to support consistent and audit-ready execution.
• Participate in process improvement, automation, system testing, implementation, and change-readiness activities, including validation of requirements and post-change results.
• Provide operational coverage and workflow support during peak volumes, staffing gaps, outages, or other business continuity events.
• Model sound judgment, ownership, accountability, and effective communication while working independently and influencing outcomes without formal authority.

Preferred Qualifications

• Experience in retirement plan operations, cash operations, trust operations, banking operations, or financial services.
• Knowledge of retirement plan design, distributions, tax-related processing, payment movement, and related operational workflows.
• Experience partnering with vendors and managing external business relationships.
• Experience supporting risk management, quality assurance, operational controls, audit readiness, or regulatory processes.
• Experience developing procedures, job aids, training materials, or technical documentation.
• Experience participating in system testing, automation, system enhancements, implementations, or process improvement initiatives.
• Bachelor’s degree or equivalent skills.
• Industry certifications such as CEBS, NIPA, ASPPA, or related credentials.
