This senior position offers ownership over the proposal process, with collaboration across dispatch, service managers, and project managers to move approved work into the field.

Qualifications

• 7+ years of estimating experience in commercial mechanical, HVAC, boiler, or related building systems service work.
• Strong knowledge of boilers, heating systems, and mechanical service scopes.
• Ability to interpret technical diagnostics, service reports, and field documentation.

Responsibilities

Pay: $140,000 - $185,000 base salary, commensurate with experience

An established mechanical and energy services company serving commercial and multifamily buildings across NYC and Westchester is hiring a Senior Service Estimator to turn field technician diagnostics and service recommendations into clear, accurate proposals for its service department. You'll review technician notes, diagnostic reports, and site conditions, build estimates covering labor, materials, and equipment, and guide customers through approval and scheduling. This is a senior seat with real ownership over the proposal process, working closely with dispatch, service managers, and project managers to keep approved work moving into the field.

Responsibilities

• Review field technician notes, diagnostic reports, photos, and service recommendations to scope proposals accurately
• Develop accurate estimates covering labor, materials, equipment, and project scope for commercial boiler, heating, and mechanical service work
• Build clear, professional proposals aligned with company pricing standards
• Communicate proposals directly to customers and follow up to answer questions and close approvals
• Track proposal status and maintain organized records of pending, approved, and declined work
• Coordinate with dispatch, supervisors, and project managers to schedule approved jobs
• Confirm materials, permits, and project details are prepared before work begins
• Partner with technicians and service managers to validate recommendations and refine estimating processes
• Conduct site visits as needed to verify scope and conditions
• Maintain accurate records in the company's CRM and internal systems

Required Qualifications

• 7+ years of estimating experience in commercial mechanical, HVAC, boiler, or related building systems service work
• Strong knowledge of commercial boilers, heating systems, and mechanical service scopes
• Ability to interpret technical diagnostics, service reports, and field documentation
• High attention to detail and accuracy in pricing and documentation
• Proficiency with estimating tools, CRM platforms, and standard office software
• Strong written and verbal communication skills with a customer-first approach
• Ability to manage multiple proposals, priorities, and deadlines simultaneously

Preferred

• Experience estimating for a service department (repair/retrofit work), not only new installation bids
• Familiarity with NYC-area mechanical codes and market conditions
• Experience mentoring or supporting less senior estimators
