Job summary

The Capital School District is seeking a Senior Secretary for Towne Point Elementary School. This full-time, 12-month position reports directly to the Principal and aligns with the district salary schedule.

The role involves extensive clerical support, attendance processing, and coordination with staff and families. Ideal candidates will have a high school diploma or GED and be proficient in office applications, with strong organizational and communication skills to manage diverse administrative

Responsibilities

  • Uses copy machine and office equipment to complete tasks.
  • Answers calls, records messages, and returns calls as needed.
  • Communicates positively with staff, parents, and community members.
  • Types, proofreads, and organizes documents and policies.
  • Maintains district records and attendance data; uses Excel for reports.
  • Processes purchase orders, vouchers, and petty cash; supports staff.
  • Attends Open House and assists with conferences/workshops.
  • Performs additional duties as assigned by the principal.

Description: Senior Secretary
Terms of Employment -Full time - 12 month employee
Reports to: Principal
Salary: Current Secretary salary schedule - see attachment
Minimum Qualifications:

  • High School Diploma or general education degree (GED).

Essential Duties and Responsibilities:

  • Uses copy machine and all other equipment needed to complete assigned tasks.
  • Places and receives telephone calls, records messages, and return calls when requested.
  • Communicates in a positive manner to all staff, parents, and community members through phone calls, emails, greets visitors and personal contacts.
  • Collects information, organizes, types, and proofreads a variety of documents including curricula, manuals, guides, policies, letters, and other written communication documents.
  • Accesses all appropriate databases and complete various statistical reports as needed. Designs and manipulates excel spreadsheets, tables, and graphics as needed.
  • Maintains District records and files relating to this position
  • Processes attendance for the building staff and ascertains substitutes as necessary.
  • Keep and maintain attendance for students.
  • Creating and maintaining attendance and lunch forms for staff that are not standard forms used for other schools. Using Excel spreadsheet
  • Complete student registrations for new students
  • Maintain student information in E-School consisting of teacher caseloads, room assignments and quality control of attendance accesses
  • Maintain and document monthly Reports for Student Count and Unit Count
  • Follows procedures which implement operational and fiscal policies.
  • Processes and prepares purchase orders, payment vouchers, and all other documents and maintain Petty Cash
  • Provides support, functions as liaison, and works cooperatively with staff and school community.
  • Log and monitor the appropriate information for school trips, inform staff of any changes in information
  • Complete conference/work shop registrations for staff, make accommodations if needed.
  • Attend Open House.
  • All other duties as assigned by the principal
