Job Summary
Fully performs both standard and non-standard transactions in support of secretarial services for a senior manager. Selects, applies, and explains procedures and practices to identify and resolve discrepancies, research information sources, and document and coordinate results.
Typical duties may include:
Oversees and organizes the flow of work in the Senior Manager’s office and/or work group to ensure timely completion of functions. Makes efficiency suggestions and standardizes processes for efficient operation of the office .
Reads incoming communication, assesses its urgency, and determines handling.
Prepares correspondence, memoranda, and other legal and technical documents from written and oral drafts. Creates, revises, and prints documents utilizing computer system software, macros, templates, or scanner, utilizing correct formats and terminology when setting up documents. Drafts routine replies to general inquiries based on organization practices and manager’s philosophy.
Proofs all material for review by the Senior Manager for conformance with TVA, and office procedures and for grammatical accuracy, punctuation, spelling, and format. Reviews work of less experienced group members. Ensures outgoing documents are timely delivered. If necessary, utilizes specialized delivery service and follows up on timely delivery.
Handles important contacts with visitors and clients, including the executives and visiting dignitaries. Arranges conferences; makes appointments; assembles reference materials for use in such meetings. Where appropriate, screens calls and records messages, and utilizes judgment in referring calls to other staff.
Establishes and maintains calendar and deadline reminder systems. Makes travel arrangements and prepares travel vouchers. Collects factual information from various reference sources, such as libraries, office files, or Internet sites.
May provide guidance to clerical staff.
Supports automated payroll and time reporting systems. May support other administrative processes such as worker’s compensation claims.
Performs other duties as assigned.
Supervision Received
Independently performs assignments with instructions as to general results expected. Receives technical guidance on unusual or complex problems.

Education and Experience/Certificates, Licenses, and Registration Requirements/Other Requirements
Must meet the requirement for Administrative Representative Level plus:
Approximately three years of responsible secretarial experience with demonstrated skills in office management,
professional approach and interactions with managers and clients, and technical skills to perform the work.
Must be willing to participate in overtime assignments as necessitated by work demands and schedules.
