Position Overview:

We’re seeking a seasoned Operations & Resourcing Lead to bring structure, oversight, and scale to our B2B agency client.

This is a new role and a critical one, born from growing inbound demand and a desire to operate with more efficiency as our client scales. You’ll partner closely with leadership across strategy, accounts, and operations to ensure they have the right people, plans, and processes in place across all client engagements.

This is a cross-functional operations role that blends resourcing, project scoping, workflow management, and operational design. We’re looking for someone who thrives in fast-paced environments, loves bringing clarity to complexity, and gets energized by building scalable systems that make an immediate impact.

What You’ll Do

  1. Own and manage resourcing: Build and maintain the contractor database, track availability, manage relationships, and match talent to project needs based on skillset, industry experience, and timing.
  2. Drive project scoping: Collaborate with leadership to shape and estimate incoming work, define team composition, develop role briefs, and support pricing and budget development.
  3. Monitor project flow: Oversee the full portfolio of active and upcoming projects, track milestones, identify bottlenecks, resolve scheduling conflicts, and ensure team clarity on priorities and timelines.
  4. Support project setup and briefing: Work with leadership to prepare for internal and client kickoffs, create resource briefs, ensure all parties are aligned, and maintain accurate documentation.
  5. Uphold operational hygiene: Define and enforce standards for file storage, documentation, project timelines, and utilization tracking. Ensure visibility into progress and budget against plan.
  6. Optimize our systems and tools: They currently use Asana for tracking projects and are open to platforms for resourcing. You’ll help them improve how they manage workflows and resources.
  7. Vet and source new talent: Identify gaps on their freelance bench, obtain quotes from talent resources, and bring in the right expertise for each project’s unique needs.

Who You Are

  • You have experience in a B2B agency environment, ideally supporting clients in professional services.
  • You’re not looking for a traditional 9–5 role where the processes are already built—you want to build them yourself.
  • You’re a builder and a doer: someone who loves shaping operations, managing moving parts, and driving real outcomes.
  • You’re familiar with the flow and phases of brand and messaging work—and how timelines, resources, and deliverables evolve throughout a strategic engagement.
  • You have a strong sense of ownership, thrive in ambiguity, and are motivated by making an impact across teams and projects.

Preferred Qualifications

  • 5–8 years of experience in operations, resourcing, or delivery management within a creative or strategic agency
  • Familiarity with project/resource management tools
  • Strong understanding of creative and strategic workflows (brand strategy, messaging, campaigns, visual identity)
  • Excellent organizational, communication, and prioritization skills
  • Comfortable navigating shifting timelines and evolving project scopes
