Qualifications

• Associate's degree in business, logistics, or related field or equivalent years of experience.
• 4 years of relevant, progressively responsible experience.
• Experience with property/maintenance systems or asset management platforms.
• Strong organizational skills and ability to manage multiple priorities with accuracy.
• Proficiency with Microsoft Office and web-based platforms.
• Ability to lift up to 50 pounds and move heavy loads on campus.
• Excellent written and verbal communication in English.
• Valid driver's license and ability to travel occasionally.
• On-site work in Pasadena, CA.

Responsibilities

• Shipping and Receiving: manage domestic/international shipping with accuracy and compliance.
• Prepare shipping documents, coordinate freight, and oversee carrier scheduling.
• Perform audits against parts lists and POs; support barcode scanning integration.
• Receive, inspect, and process incoming shipments; resolve discrepancies.
• Administer export compliance documentation and international shipments.
• Process detector equipment shipments with accurate recordkeeping.
• Maintain shipping supply inventory and organize supplies.
• Property and Equipment Management: assign asset tags and maintain equipment records.
• Maintain and improve asset tracking; oversee equipment loans/transfers/retirements.
• Oversee preventive maintenance schedules in FAMIS; track work orders.
• Prepare annual inventory reports and facilitate custodians verifications.
• Lead physical inventory walks; manage findings and records.
• Property disposition and reutilization in compliance with policy.
• CIT Facilities & Safety Coordination: optimize storage and maintain labeled storage systems.
• Develop inventory database and ensure up-to-date stock records.
• Procurement coordination and routine replenishment.
• Conduct annual gas cylinder inventory and maintain records.
• Monthly lab safety walks and issue resolution.
• Coordinate office/lab relocations and facilities work orders.
• Safety forms and NFPA compliance; liaise with safety officer.
• Monitor lab spaces for safety and housekeeping.
