Job summary

Guidehouse is seeking a Senior Project Coordinator to join our PMO in a role supporting Federal Partner agency missions. You will coordinate resources, manage documentation, and assist with cost estimation, burn reports, and SOPs, while ensuring timely project delivery and executive reporting.

Collaboration across Operations, Strategy, Contracts, Development, and Partner Services is essential. The position requires five years of project coordination experience, a Bachelor’s degree or equivalent,

Qualifications

  • Bachelor's degree or equivalent; five years of relevant experience in lieu of degree accepted.
  • Minimum five years in project coordination or PMO support.
  • Advanced Microsoft Excel and burn report tooling experience.
  • Experience with federal client-facing documentation and reporting is a plus.

Responsibilities

  • Coordinate project resources, including direct reports and subcontractors; monitor time submissions and performance support.
  • Support PMO leadership; align with federal stakeholders to deliver project objectives.
  • Create and review proposals, cost estimates, burn reports, SOWs, and SOPs.
  • Assist onboarding, coordinate cross-team activities, and maintain project docs and status reports.
  • Prepare weekly/monthly status updates; track risks, issues, and action items.
  • Support financials: funding, burn rates, forecasts, invoices, and timesheet management.

Job Family:IT Project ManagementTravel Required:Up to 10%Clearance Required:Ability to Obtain Public TrustWhat You Will Do:We are seeking a Sr. Project Coordinator/ Supervisor to join our Project Management Office (PMO) to support and manage projects directly related to the execution of Federal Partner agency mission activities. This role will provide project coordination, operational, and documentation support to PMO leadership and collaborate with internal teams and federal stakeholders to manage cost estimation, proposal reviews, project delivery, reporting, onboarding, and process improvement activities.Key ResponsibilitiesManage project resources/direct reports and subcontractors, including work allocation monitoring of activities; timesheet approvals, performance support, professional development, resource activation, and timely completion of commitments.Support PMO leadership in coordinating activities and project operations directly related to the execution of Federal Partner agency mission objectives.Collaborate with federal stakeholders and internal teams to support project delivery, issue tracking, and status reporting.Create, maintain, and review project documentation, including proposals, cost estimates, burn reports, statements of work, and standard operating procedures.Assist with onboarding new resources and coordinating team activities across internal and external stakeholders.Prepare weekly and monthly reports, monitor project activities, and help track action items, risks, and issues.Support executive and client-facing reporting by consolidating updates and preparing clear, accurate communications.Coordinate across Operations, Strategy, Contracts, Development, and Partner Services teams to support project needs.Promote collaboration, organization, and process consistency across PMO activities.Adapt quickly to shifting priorities, ensuring the team stays agile and responsive.Support the development and implementation of project management best practices and tools within the PMO.Manage and track project deadlines to ensure timely delivery of project milestones and deliverables.Support additional PMO-related activities as assigned.Create, manage, and review project documentation, including proposals, cost estimates, burn reports, statements of work, standard operating procedures, status reports, meeting materials, and executive briefings.Oversee project financial and operational performance by monitoring funding, labor, burn rates, forecasts, charge codes, invoices, timesheets, and resource data; identify and resolve discrepancies.What You Will Need:Bachelor’s degree OR Additional FIVE (5) years of equivalent relevant experience in lieu of a degree.Minimum FIVE (5) years of project coordination, project management support, client support, or related experience.Must be able to OBTAIN and MAINTAIN a Federal or DoD \"PUBLIC TRUST\"; Candidates with an ACTIVE PUBLIC TRUST or SUITABILITY are preferredExperience supporting project documentation, reporting, and operational processes.Advanced skills in Microsoft Excel, including experience developing or maintaining burn reports and tracking tools.Strong organizational skills with the ability to prioritize, track, and manage multiple tasks and deadlines.Experience creating or maintaining standard operating procedures and other process documentation.Ability to support risk and issue tracking and follow established mitigation procedures.What Would Be Nice To Have:Excellent verbal and written communication skills, with the ability to communicate effectively with technical and non-technical stakeholders.Strong skills in Microsoft products, including Word, Excel, PowerPoint, Project, and SharePoint.Strong interpersonal and customer support skills, with the ability to work collaboratively across teams.Certified Associate in Project Management (CAPM) certification or equivalent.Knowledge of federal grants management processes.Experience working with federal clients, programs, or government-facing environments.Experience supporting PMO functions in a consulting, federal, or mission-driven environment.Experience with enterprise software platform tools, such as Jira or Salesforce.The annual salary range for this position is $98,000.00-$163,000.00.
