This position allows the employee the ideal mix of working remotely and in the office. This role will be based out of our Phoenix, AZ or Chicago, IL offices.

The hours are generally between 8:00am to 5:00pm Monday to Friday with some flexibility required due to global sessions.

The Company

BTS is a consultancy specializing in the people side of strategy. For four decades we've been designing powerful experiences that have a profound and lasting impact on businesses and their people. We help the world's leading companies turn strategy into results.

Our next-generation approach combines deep business knowledge with transformational development to help people and their company evolve together. We equip leaders for tomorrow, inspire new ways of thinking, and build critical capabilities through working sessions, workshops, offsites, and more.

The Role

Senior Program Coordinators are responsible for the successful planning, implementation, and continued rollout of our customized learning solutions. This role independently owns the operational execution of client programs, working with multiple stakeholders to ensure each client program runs successfully, and serves as the go-to resource for clients and internal teams on program delivery.

This role will provide frequent opportunities to stretch and grow, requiring someone who will contribute positively to the team’s overall impact on the growth of the business.

Responsibilities
Program Implementation
  • Developing and owning timelines and schedules for client programs in partnership with the BTS project leader, proactively flagging risks and dependencies
  • Setting the tone for the program and providing a clear vision around its objectives for the team
  • Owning program deliverables against the project plan, and advising the project leader and account team on priorities, trade-offs, and next steps
Program Rollout
  • Monitoring, assessing, and proactively updating clients on the progress of programs
  • Serving as the primary point of contact for support inboxes and client inquiries, resolving issues independently and escalating as needed to exceed client expectations
  • Identifying and implementing process improvements in partnership with client and internal account teams that benefit the client and team satisfaction
  • Coordinating with other departments (resourcing, finance, logistics, resource management, and production) to ensure deliverables are executed on time
Program Close
  • Creating and maintaining comprehensive documentation, including compiling data into client-suitable reports (attendance tracking, participant feedback, facilitator observations, and program insights) and highlighting trends and recommendations for the account team
Systems Management
  • Managing participant and program data using digital platforms, and identifying opportunities to improve how programs are tracked and managed
  • Managing accurate data using various systems to enter and track programs including timelines, revenue, and additional program details
Qualifications
  • 3+ years of program or project coordination experience, including independently owning client programs from planning through close
  • Highly organized, analytical, and capable of managing multiple programs simultaneously, with strong attention to detail
  • Exceptional verbal and written communication skills, adept at proactively engaging with high-profile clients, clearly articulating their requirements and priorities, and collaborating with internal teams
  • Exceptional self-management abilities through effective prioritization of program tasks based on urgency and importance, as we foster a culture of freedom within a framework
  • Ability to work independently, using sound judgment to solve problems and knowing when to elevate, while also possessing a strong sense of teamwork
  • Approaches challenges with a growth mindset, identifying and implementing improvements to processes and ways of working
  • Capable of thinking quickly and acting decisively, while also demonstrating strong critical thinking skills for effective problem solving
  • Proficient in gathering and analyzing data, with the ability to generate comprehensive reports
  • Digital savviness, with demonstrated experience using Zoom, Microsoft Teams, Slack, Smartsheet, and Salesforce
  • Experience using Microsoft Office Suite is required (Outlook, Excel, Word, and PowerPoint)
  • Hands-on experience with Claude or comparable AI tools — writing effective prompts and turning them into repeatable workflows
  • Eligibility to work in the US permanently without sponsorship
