General Description

POSTING TYPE: Open Competitive

DEPARTMENT: Social Services

HOURS: Full-time, 40 hours per week

PREFERRED HIRING RANGE: $50,194 - $56,468/year (105 Grade Level)

FULL SALARY RANGE: $50,194 - $78,428/year

LOCATION: Primarily at Northern Service Center in West St. Paul; coverage at Western Service Center in Apple Valley may be required

This position supports the Social Services front desk at our Northern Service Center, with potential coverage at Western Service Center. It is the first point of contact for callers and walk-ins, supporting various social services programs. It requires in-office presence daily.

Minimum Qualifications
  • Associates Degree in business administration, human services, or related field AND 1 year of administrative experience.
  • OR High School Diploma AND 3 years of administrative experience.
  • OR a combination of education and experience totaling 3 years.
  • Proficiency in keyboard skills, including at least 45 WPM.
Preferred Qualifications
  • Experience with multi-line phone systems.
  • Experience working with individuals with disabilities, mental illness, or substance use disorders.
  • Experience with diverse populations and limited English proficiency.
  • High proficiency in Microsoft Office applications.
  • Experience with electronic databases and records management systems.
Additional Requirements

Successful background check and criminal history screening are required.

Duties & Responsibilities
  • Answer phones and support walk-in guests, directing calls and providing information.
  • Provide administrative support, including processing background checks and managing faxes.
  • Assist with social services intake and program activities.
  • Handle purchasing of supplies and maintain program materials.
  • Manage and update information in state and county systems, ensuring data integrity.
  • Schedule client appointments and maintain office equipment.
  • Develop and improve internal procedures.
  • Handle confidential client information in compliance with legal regulations.
  • Conduct internal audits for compliance.
  • Support department programs with special projects.
  • Support cultural diversity initiatives and address community needs.
  • Other duties as assigned.
Knowledge, Skills & Environment
  • Knowledge of relevant state, federal, and county guidelines.
  • Ability to handle multiple demands professionally and respectfully.
  • Effective communication with diverse clients and staff.
  • Understanding of HIPAA and data privacy laws.
  • Ability to audit financial records and use productivity software.
  • Strong research, analysis, and organizational skills.
  • Ability to work independently and in teams.

Work is performed mainly in an office setting, with some physical activity required. Travel may be needed.
