The Senior Operations Manager leads the operational systems and daily practices that allow My Sister’s House to serve survivors reliably and steward its resources well. The role owns the coordination of financial administration, payroll, grants payment processes, people operations, facilities, technology support, and vendor relationships. It strengthens controls, translates operating information into clear recommendations, and helps leaders solve problems across departments. The manager supervises the Office Manager and part-time Database Manager and partners with the CEO, directors, and outside accounting and service providers. This is a senior management role with hands-on responsibility for critical operating cycles. This is a fully on-site position. Employees are required to work in person at the designated work location. Remote or hybrid work arrangements are not available.

Key Responsibilities
Operational leadership and improvement
  • Set an annual operations work plan with the CEO, translate priorities into timelines and owners, and review progress and risks with the leadership team.
  • Design, document, and improve practical workflows across finance administration, people operations, grants payments, facilities, and technology; clarify approvals and handoffs across departments.
  • Use service levels, recurring deadlines, error trends, and staff feedback to identify bottlenecks and recommend changes that improve reliability and reduce unnecessary burden.
  • Lead implementation of approved systems and process changes, including staff training and follow-through.
  • Partner with program and advancement leaders to define data quality, access, and reporting needs; coordinate the Database Manager’s work against shared priorities and agreed standards.
Financial management and controls
  • Own the internal calendar for accounts payable, bank deposits, payroll inputs, grant payment packages, month-end close, audit requests, and board financial materials.
  • Oversee accounts payable including bill intake, coding, supporting documentation, approvals, reimbursements, checks and gift card requests, and vendor follow-up; maintain separation of duties and elevate exceptions.
  • Prepare deposits and coordinate bank activity; download and classify non-development receipts, maintain documentation, and reconcile questions with advancement and the outsourced accounting team.
  • Partner with the designated accounting provider to review revenue classes, expense codes, detailed profit and loss reports, monthly statements, and unresolved transactions.
  • Prepare operational budget information and spending analyses for the CEO; monitor variances and cash timing with the accounting provider and flag emerging risks or resource needs.
  • Coordinate audit schedules, documentation, and corrective follow-up. Recommend improvements to internal controls and help implement CEO‑approved policies.
Payroll and people operations
  • Oversee the biweekly payroll cycle, retirement plan administration, and timely coordination with authorized approvers and providers.
  • Lead consistent onboarding and offboarding administration, personnel recordkeeping, access changes, benefit or deduction updates, and manager handoffs.
  • Support the CEO and directors with the operational parts of recruitment, staff communications, performance cycle tracking, and policy implementation; elevate employee relations and compensation decisions.
  • Protect employee, donor, and survivor information by maintaining role‑appropriate access, secure records and vendor practices, and timely access changes; follow MSH’s confidentiality and safety protocols and elevate suspected breaches promptly.
Grants, reporting, and compliance coordination
  • Oversee monthly grant payment packages and trackers, verify required documentation with program and finance leads, monitor acceptance and remittances, and address process gaps.
  • Coordinate operational records for periodic VSP audits, SOVA correspondence, funder requests, records retention, and other assigned compliance cycles.
  • Assemble accurate board packet materials and concise operations updates for the CEO; identify decisions, risks, trends, and proposed responses.
Facilities, technology, vendors, and supervision
  • Oversee building maintenance, workplace access and safety, office services, vehicle tax administration, equipment needs, IT support, phone and security systems, vehicle records, and vendor onboarding and service follow‑up.
  • Supervise the Office Manager and part‑time Database Manager through clear priorities, regular coaching, performance feedback, workload planning, and coverage; coordinate the database role’s limited hours against the most important deliverables.
  • Hold the Office Manager accountable for dependable coverage of shared inboxes and phone lines, mail, check scans, opening and closing, supply orders, background checks, and staff meeting materials; provide support and escalation for exceptions.
  • Oversee the Database Manager’s operational work on data hygiene, user access, documentation, routine reporting, and issue resolution in partnership with the staff who own program and fundraising data.
Cross‑team service
  • Oversee all staff meeting planning and logistics
  • Represent MSH at occasional community outreach events when operational coverage and priorities allow.
  • Build effective working relationships across departments and hold vendors accountable to agreed services, timelines, and costs within delegated authority.
  • Other duties as assigned.
Qualifications
  • Seven or more years of progressively responsible experience in nonprofit operations, finance administration, human services, or a related setting, including staff supervision and cross‑functional process leadership.
  • Strong command of payroll administration, accounts payable, financial coding, month‑end review, grants payment documentation, internal controls, and audit coordination; ability to work effectively with outsourced accounting support.
  • Experience strengthening systems, managing vendors and projects, and turning operating data into useful recommendations for senior leaders.
  • Sound judgment with confidential information, risk, approvals, and escalation; strong writing, communication, coaching, and relationship skills.
  • Comfort using spreadsheets, payroll and accounting systems, document repositories, and workplace technology; ability to learn systems quickly.
  • Commitment to MSH’s mission and to a respectful, survivor‑centered and collaborative workplace
