Job summary

Gundersen Health System in Onalaska, WI is seeking a Senior Office Assistant to provide advanced clerical support across departments, manage calendars, prepare reports, and coordinate travel for division staff. You’ll work Monday through Friday, 32 hours, 8-hour shifts, with opportunities for growth.

A high school diploma plus 1-year post-secondary training and 3–4 years of relevant experience are required.

  • 3–4 years of relevant office/administrative experience.
  • Strong self-motivation, proactive, and able to work independently.
  • Excellent organizational, multitasking, and attention to detail; strong customer service.

Responsibilities

  • Provide advanced clerical and administrative support across multiple departments using various computer systems and applications.
  • Develop, maintain, and analyze reports, spreadsheets, and business documents, ensuring accuracy and professionalism.
  • Manage high-volume calendar scheduling, including appointments, meetings, and travel arrangements for division staff.
  • Coordinate divisional projects and educational sessions, mentoring office staff and ensuring timely completion of confidential assignments.

Scheduled Weekly Hours: 32 hours/week

Shift: Monday - Friday, 8-hour shifts between 8am-5pm, one day off per week

Department: Telephone Nurse Advisory/ARCC

Location: On-site, Onalaska, WI

What You’ll Do
  • Provide advanced clerical and administrative support across multiple departments using various computer systems and applications.
  • Develop, maintain, and analyze reports, spreadsheets, and business documents, ensuring accuracy, professionalism, and support for divisional goals and decision-making.
  • Manage high-volume calendar scheduling, including appointments, meetings, and travel arrangements for division staff.
  • Coordinate divisional projects, educational sessions, while serving as a resource and mentor to office support staff and ensuring timely completion of confidential and high-priority assignments.

What You’re Needed
  • High school diploma or equivalency and post high school training lasting a minimum of one year in a formal Business/Computer/Administrative/Secretarial/Office program, training, or course work required.
  • 3-4 years relevant experience in office, secretarial, or administrative setting required.
  • Self-motivated, proactive, and able to work independently.
  • Strong customer service mindset with a collaborative team-player approach.
  • Excellent organizational, multitasking, and detail-orientation skills.
  • Strong computer skills, including proficiency with Microsoft Office applications desired.
