Senior Meeting, Convention & Event Planner (US Air Force Support)

Company: US Federal Solutions

Clearance: Active Secret required

Work Location: Onsite/Hybrid (as required by mission)

Travel: Occasional CONUS travel for major events and forums

US Federal Solutions is hiring a Senior Meeting, Convention & Event Planner to support a U.S. Air Force organization with high‑visibility engagements, leadership forums, and strategic communications. This role is ideal for someone who can run complex events end‑to‑end, advise senior leaders, and translate priorities into well‑executed experiences and outreach products that land with diverse stakeholders.

What You’ll Do

You’ll serve as the lead planner and integrator for executive‑level events and communications deliverables, coordinating across government teams, mission partners, and external stakeholders.

Event strategy & execution
  • Plan and execute high‑visibility events such as executive sessions, leadership offsites, workshops, and professional development engagements (e.g., PDI‑style events).
  • Own the full event lifecycle: concept development, stakeholder alignment, agenda build, speaker management, run‑of‑show, rehearsals, onsite execution, and after‑action reporting.
  • Manage venues, room blocks, audio/visual, security considerations, visitor access, base entry coordination, and all logistics required for smooth delivery.
Executive forums & stakeholder engagement
  • Facilitate cross‑functional coordination to align event objectives, messaging, and outcomes across leadership, financial management, public affairs/communications, and operational teams.
  • Support executive engagements with briefing materials, talk tracks, and stakeholder‑ready content.
Communications & outreach products
  • Develop and produce outreach materials tied to event priorities and enterprise communications goals (print/digital).
  • Oversee digital content and communications products, which may include newsletters, podcasts, social media content, and SharePoint sites.
  • Maintain a consistent voice and standard across products while ensuring alignment with Air Force guidance and approval workflows.
Governance, compliance, and financial awareness
  • Apply a thorough understanding of 10 USC 9022 Financial Management principles to support compliant planning, documentation, and decision support.
  • Track schedules, deliverables, approvals, and risk mitigation plans to keep high‑visibility efforts on time and leader‑ready.
What success looks like
  • Events run smoothly, start on time, and deliver the intended outcomes with minimal friction for leaders and attendees.
  • Stakeholders feel informed and aligned because messaging and outreach products are clear, consistent, and timely.
  • Leadership trusts you as the person who can take an objective and turn it into a well‑executed engagement.

Submit your resume highlighting executive forum support, high‑visibility event delivery, and enterprise communications products you’ve owned end‑to‑end. Include your clearance status (active Secret) on your resume.
