Our client is seeking a Senior Meeting & Event Project Manager to join our top-tier team and manage complex, strategic events for clients in the pharmaceutical and corporate sectors.

This is a remote role, but candidates must be located in one of the following states:
Arizona, Colorado, Illinois, or Texas

Travel Requirement: Approximately 25–30% domestic and occasional international travel is required for onsite support and program execution.


About the Role

The Senior Meeting & Event Planner (Senior Project Manager) is ultimately responsible for spearheading the planning process directly with the client and leading all internal support functions to execute both anticipated and unanticipated planning tasks. This high-visibility role requires leadership, precision, and the ability to manage complex programs with poise.

Primary Responsibilities

Independently plan and facilitate strategic meetings and events ranging from 10–500 attendees
Manage commercial internal meetings such as marketing/sales trainings, product launches, national sales meetings, and incentive programs
Develop detailed project plans and timelines for all events
Prepare event budgets, manage costs, and reconcile final expenses
Create reports, presentations, proposals, and professional correspondence
Oversee event staff schedules and daily agendas
Ensure all planning aligns with client/company processes and compliance protocols
Manage all facets of event execution, including:
Attendee/VIP/stakeholder coordination
Status calls and client communications
Signage design and production
Offsite activities, gifting, and printed materials
F&B and AV coordination
Ground transportation and air travel vendor liaison
Oversight of all specs and onsite logistics
Travel onsite (25–30%) to ensure flawless program delivery

Required Experience

Minimum of 5 years of corporate meeting planning or marketing event experience, preferably within the pharmaceutical or corporate meeting industry

Knowledge, Skills & Requirements

Demonstrated excellence in customer service and client-facing communication
Outstanding verbal and written communication skills
Strong interpersonal and leadership skills
Proficiency in Microsoft Office Suite, particularly Excel (formulas, graphs, multiple spreadsheets)
Experience using Cvent for event registration and reporting
Highly organized with strict attention to detail and a commitment to quality
Self-directed and adaptable with the ability to manage multiple projects and changing deadlines
Willingness to work flexible hours, including evenings and weekends as needed
Valid U.S. passport and access to a major airport
Home office setup required (computer provided)
