Description

Your role at GEI.

Is AEC marketing where you thrive? Are you looking for a company that truly values marketing to drive business? Are you a master of proposals? If yes, GEI has a role for you.

GEI is seeking an experienced, motivated, and collaborative Senior Marketing Coordinator to support our continued growth through the development of high-quality, compelling proposals and qualifications packages, strategic pursuit support, and business development initiatives. Reporting to the East Region Marketing Manager, this individual will play an important role in helping GEI position itself for success and win work throughout the New England Area.

The ideal candidate is a proactive, detail-oriented marketing professional who thrives in a fast-paced, deadline-driven environment. This individual brings strong proposal management skills, creativity, strategic thinking, and the ability to independently manage multiple priorities while collaborating with technical staff and leadership. Beyond producing high-quality marketing materials, the successful candidate will understand the importance of building relationships, identifying opportunities, and contributing to the overall growth of the business.

You will be part of GEI’s highly respected marketing organization, working collaboratively with the East Region marketing team and focusing specifically on the New England Area. As a member of this larger team, you will have opportunities for mentorship, professional development, knowledge sharing, and collaboration while making a meaningful impact on GEI’s growth and success.

The preferred location for this position is GEI’s Wakefield, MA headquarters, where many of our marketing professionals are based, creating a dynamic and collaborative team environment. Candidates based in other GEI East Region offices, from Maine to Washington, DC, will also be considered.

Essential Responsibilities & Duties

  • Proposal Development and Management: Independently lead and manage proposal and qualification efforts from kickoff through submission. Interpret RFP requirements, develop and proactively manage proposal schedules and task assignments, coordinate with technical teams and subconsultants, and oversee content development, document production, quality control, and final submission. Prepare and maintain resumes, project descriptions, statements of qualifications (SOQs), SF330s, and other proposal-related materials.

  • Pursuit Strategy and Positioning: Collaborate with technical staff, project managers, and leadership to develop compelling, client-focused messaging, win themes, and differentiators that strengthen GEI’s competitive position and support successful pursuits.

  • Business Development Support: Support regional growth initiatives through opportunity identification and tracking, market research, capture planning, and interview preparation. Work collaboratively with seller-doers and leadership to identify opportunities and strengthen client relationships.

  • Marketing Database Management: Maintain accurate and current information within GEI’s CRM and marketing databases, including opportunities, clients, projects, personnel, and other relevant marketing information.

  • Events and Professional Engagement: Assist with the planning and execution of conferences, seminars, client events, and other marketing initiatives. Actively participate in professional organizations and industry events to build relationships, expand market knowledge, and support GEI’s visibility.

  • Public Procurement Support: Support public-sector pursuits through an understanding of procurement processes, solicitation requirements, and compliance standards.

  • Continuous Improvement and Innovation: Proactively identify opportunities to enhance marketing processes, proposal quality, and team efficiency. Embrace new technologies, tools, and best practices to support continuous improvement.

  • Team Collaboration and Development: Contribute to a collaborative marketing environment by sharing knowledge, ideas, and best practices with colleagues across the East Region and broader GEI marketing organization.

  • Perform other duties as assigned.

  • Demonstrated ability to independently manage multiple, complex, deadline-driven proposals from kickoff through submission.

  • Excellent written and verbal communication skills, including strong editing, proofreading, and content development abilities.

  • Strong organizational, project management, and time management skills, with exceptional attention to detail and the ability to balance competing priorities.

  • Ability to think strategically and contribute to proposal positioning, win themes, and client-focused messaging while maintaining a high standard of quality in document development and production.

  • Strong interpersonal and collaboration skills, with the ability to build effective working relationships with technical professionals, leadership, and marketing colleagues.

  • Self-motivated, proactive, and resourceful, with the ability to anticipate challenges, solve problems independently, and take initiative in a fast-paced environment.

  • Proficiency in Microsoft Office applications, including Word, PowerPoint, and Excel, and Adobe InDesign. Working knowledge of Adobe Creative Cloud applications and CRM systems.

  • Familiarity with public-sector procurement processes, including RFP requirements, SOQs, and SF330 submissions.
