The Senior Grants & Programs Manager is responsible for critical functions within the organization: coordinating the activities of grants and programs associates, providing strategic knowledge and input to the change strategies that inform investment strategies, managing the roles of technical assistance and evaluation consultants in cooperation with senior staff, and managing the grants portfolio. The incumbent will utilize his or her background and expertise in program and grants management to assist in developing and executing the annual program goals and objectives of the Foundation. The incumbent will be able to incorporate the programmatic demands of each strategy with anticipated outcomes and will be the primary point of contact with external stakeholders concerning the grants portfolio. The position will provide leadership and guidance to the grantmaking team, implementing a coaching and mentorship model with the Senior Grants and Programs Associate. Lastly, the Senior Manager will support the Sr. Director of Philanthropy in the preparation and development of presentations and materials for Leadership.
JOB DUTIES AND RESPONSIBILITIES
- Work with grants and program associates to organize and coordinate the overall grant making procedure across the investment portfolio: proposal submission and evaluation, grant eligibility and renewals, grant tracking, post-grant evaluation, quality assurance and compliance to expenditure responsibility standards for grants.
- Manage a grants assistant to coordinate grant procedures including monthly grants budget, grant award letters and communications such as standard terms and conditions for grant award letters.
- Develop mentoring and structured coaching plan to prepare Senior Associate role for potential “people-leader” transition. Develop professional develop plan in partnership with Senior Associate.
- Serve as the department’s primary point of contact for development of an effective network of program partners, grantees and decision makers to enhance the capacity of Foundation investments to achieve its goals:
- Providing the overall structure and process to guide relationship management of grantmaking team
- interacting with grantees and potential grantees concerning grant and program investment strategy
- managing relationships with partners and other key stakeholders that maximize the growth and impact of the networking strategies
- developing and managing communications strategies, including web presence
- collecting and disseminating key learnings from grantees and program partners
- coordinating and assisting external consultants to carry out their functions effectively
- researching and identifying related grant and program opportunities
- supporting and maintaining effective relationships with internal constituents, provider organizations, academic institutions, program managers, policy officials and community groups as needed to support network development
- representing the Foundation at events and convenings
- Support the Senior Director of Philanthropy in developing an annual funder engagement strategy,
- Develop and maintain relationships with key strategic oral health funders. Serve as a liaison between funder networks and CareQuest Institute, as needed.
- Manage all documentation and internal communication for programs and grants with the assistance of administrative staff and required software.
- Serve as principle liaison to the Director of Finance and other staff in resolving issues and leading problem-solving efforts relevant to managed grants and programs.
- Work with senior staff to develop and execute annual performance objectives related to grants and programs. Also assist with ensuring that the Strategic Operating Plan goals and objectives are met.
- Work with the Philanthropy Team and Institute leadership to develop materials for presentation at Board meetings or other official gatherings. Attend Board meetings and provide information and presentations as needed.
- Manage development of Foundation efforts to create efficiency, consistency, and standardization in program guidelines and grant making policies, processes and procedures.
- Build grantmaking processes that integrate OPEN resources and network-tools. Foster collaboration and integration across OPEN membership and activities and grantmaking priorities.
JOB REQUIREMENTS
- Degree from an accredited college or university in management/administration, social work, clinical care or other related field, masters degree preferred
- Experience in program planning and coordination, community health programs, dental public health or research and report writing a plus
- 7-10 years of relevant work experience in the philanthropy and/or nonprofit program management
- Strong understanding of best practices and procedures in philanthropy and grants management
- Advanced proficiency in Microsoft Office Suite required. Knowledge of web applications and grants management systems a plus
- Strong interpersonal skills and demonstrated ability to work well in a team, managing multiple assignments and delivering on multiple tasks with professionalism, dependability and flexibility in a fast-paced environment
- Strong communication skills; experience with internal and external audiences at all levels preferred
- Demonstrated commitment to health equity, social justice, and community engagement
PHYSICAL DEMANDS:
- Incumbent must be able to communicate effectively.
- Manual dexterity and sitting is required in carrying out position own position responsibilities (i.e. use of personal computer).
- Ability to travel or move about within and outside serviced facilities required.
- Incumbent works primarily in either a private or shared office environment.
