Job Description
We’re seeking a highly organized, experienced, and strategic Senior Event Manager to lead the planning and execution of high-impact events that elevate our brand, engage key stakeholders, and drive business outcomes. This role is responsible for managing end-to-end event execution—including strategy, logistics, budgeting, content development, and on-site coordination—while also handling key administrative functions such as budget tracking, scheduling, and vendor contracting.
The ideal candidate is a proactive multitasker with a strong background in event production and operational administration, thriving in a fast-paced, cross-functional environment.
Remote role. Travel is required (10-20%).
Key Responsibilities
- Own the end-to-end planning and execution of large-scale conferences, internal meetings, client events, and executive programs (virtual, hybrid, and in-person).
- Develop critical event elements, including venue selection, project planning and management, agenda development, event flow, speaker sourcing, theme ideation, creative/branding development, promotion/social activities, content development, materials production, on-site management, communication planning, F&B ordering, space planning, rooming lists, hotel activities, transportation arrangements, housing processes, and more.
- Coordinate board meetings and support various project needs to adapt to team requirements.
- Develop and manage event budgets, timelines, run-of-shows, and production schedules, including expense reconciliation.
- Lead vendor sourcing and management, including venues, AV, production, catering, travel, and staffing.
- Collaborate with marketing, sales, communications, and executive teams to align event content and messaging with business objectives.
- Coordinate pre-event logistics such as registration, invitations, signage, collateral, and shipping of materials.
- Manage administrative tasks like PO/invoice tracking, calendar management, documentation, and post-event reporting.
- Support contract negotiations, ensuring compliance with company policies and legal standards.
- Assist with executive travel arrangements and prep for speaking engagements.
- Act as the on-site lead, managing run-of-show and resolving live issues professionally.
- Track and analyze event success metrics for continuous improvement.
- Ensure consistent brand representation and attendee experience across all touchpoints.
- Stay updated on industry trends and recommend innovative formats and technologies for future events.
- Support internal website (SharePoint) updates and development.
