IMRF in Oak Brook, IL is seeking a Mail Center professional to manage organizational communications and mail processing. Responsibilities include sorting, delivering, posting mail, and coordinating printed materials.

You will maintain inventory on-site and at an offsite warehouse and operate multiple copiers and mail processing equipment. The role requires a high school diploma (or GED) with at least three years of related experience.

  • Train back-up copier operators and coordinate service calls.
  • Attend demonstrations to review cost effectiveness of machines.
  • Review maintenance contracts before purchasing new machines.

SUMMARY

This position is responsible for Mail Center project management of organizational communications that require processing by the Mail Center. This includes maintaining adequate inventory both onsite and at the offsite warehouse. Also responsible for the daily sorting, delivery and posting of incoming and outgoing mail, delivery of expedited mail, inter-office mail and plans and coordinates and produces all in-house printed material. Maintain numerous recordkeeping logbooks and operates and maintains all in-house networked copiers/printers, analog copiers as well as fax machines

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Provide input into the Office Services Budget
  • Become a Mail Piece Design Specialist.
  • Sort and deliver incoming mail
  • Prepare and post outgoing mail using mail processing machine
  • Pick up and deliver inter-office mail and packages
  • Operate all current and future machinery including (but not limited to): folder, folder/inserter, r, mail processing machine, letter opener.
  • Deliver and prepare special mailings, overnight packages, certified mail and accountable mail
  • Distribute supplies and verify and deliver purchase order items
  • Maintain computerized accounting system including mail expenditures for internal reports
  • Perform duties and special projects assigned by the Records Supervisor/Office Services Manager
  • Schedule and coordinate the completion of printed material including booklets and bound reports
  • Operate the high-speed copier using digital technology
  • Maintain all copiers (digital and analog) throughout IMRF, requesting service calls when needed
  • Meet with staff and managers to plan copy work and determine priorities
  • Track inventory of all paper and order supplies as needed
  • Track usage and repair history on all copiers, fax machines and bindery equipment.
  • Communicate verbally and through written copy orders, provided by requester, to determine and meet deadlines for jobs
  • Maintain inventory of office supplies
  • Maintain and reconcile envelope inventory
  • Work with purchasing with envelope bidding
  • Troubleshoot equipment and/or coordinate service calls
  • Restock postal supplies and check post office box at local Post Office branch
  • Participate and lead unit team building activities
  • Assist in maintaining business unit process tracking
  • Provide knowledge and input in the replacement and purchasing of new equipment and supplies
  • Train back-up copier operators (due to the digital computer knowledge, training is a continual process.)
  • Attend outside demonstrations at various companies to review the most cost effectiveness and mechanical ability of machines compared to the present IMRF machines
  • Review maintenance contracts prior to the purchase of any new machines with the Office Services Manager.
  • Assist Office Services Manager with facility related tasks
  • Other duties may be assigned.

SALARY AND BENEFITS

The expected annual salary range for this role is $47,653 - $52,418. Please note the salary information is a general guideline only. Salaries are based upon candidate skills, experience, and qualifications, as well as market and business considerations. The range listed is just one component of IMRF's total compensation package for employees.
