Job summary

Saratoga Retirement Community in Saratoga, CA is seeking a Fleet & Transportation Manager to oversee safe, reliable, and cost-efficient transportation for residents and staff. This leadership role reports to the Director of Facilities and drives day-to-day operations, driver scheduling, and fleet maintenance.

The ideal candidate will have 3+ years in fleet/transportation management, strong organizational and communication skills, and a focus on safety and service quality.

Qualifications

• 3+ years in fleet management, transportation, dispatch operations, or related supervisory roles.
• Experience supervising staff and managing driver schedules.
• Experience coordinating vehicle maintenance and working with vendors.
• Strong organizational, communication, problem-solving, and recordkeeping skills.
• Knowledge of vehicle safety, driver qualifications, and applicable transportation requirements.
• Ability to balance resident service, staffing, and operational costs.
• Proficiency with Microsoft Office or scheduling/fleet management systems.
• Valid driver's license and ability to meet driving eligibility requirements.
• Experience in senior living, healthcare, hospitality, or similar resident-focused environments (preferred).
• Experience developing or improving a transportation or shuttle program (preferred).
• CDL or willingness to obtain a CDL if required for relief driving (preferred).
• Bachelor's degree in business, operations, logistics, or related field, or equivalent experience (preferred).

Responsibilities

• Manage daily resident transportation and employee shuttle schedules.
• Coordinate transportation for medical appointments, outings, and events.
• Set procedures for requesting, confirming, changing, and canceling trips.
• Address scheduling conflicts and service disruptions promptly.
• Monitor on-time performance, trips, and feedback to improve service.
• Recruit, onboard, supervise, coach, and evaluate drivers.
• Ensure driver coverage, training, and safety education.
• Oversee vehicle readiness, maintenance, and registrations.
• Coordinate fleet maintenance with technicians and vendors.
• Prepare reports on vehicle availability, costs, and incidents.
